Job Requirements

  • Proven office experience or clerical background
  • Proficiency with Microsoft Office and Google Workspace

  • Bilingual abilities preferred

Job Qualifications

  • Proven office experience or clerical background with a strong understanding of front desk operations
  • Demonstrated proficiency in computer skills including Microsoft Office Word Excel Outlook Google Workspace and general computer literacy
  • Experience managing multi-line phone systems and providing excellent customer service in person or over the phone
  • Familiarity with office management tasks such as filing data entry proofreading and calendar management
  • Strong organizational skills with the ability to multitask efficiently in a fast-paced environment
  • Bilingual abilities preferred to enhance communication with diverse populations

Job Duties

  • Greet visitors warmly and direct them appropriately ensuring a positive first impression
  • Manage multi-line phone systems with professionalism utilizing excellent phone etiquette to handle inquiries and route calls efficiently
  • Maintain appointment calendars schedule meetings and coordinate calendar management for staff or executives
  • Perform data entry filing and document proofreading to ensure accuracy and organization of records
  • Support office management tasks such as supply inventory mail handling and basic bookkeeping using QuickBooks or similar software
  • Assist with administrative duties including typing correspondence managing Google Workspace documents and supporting customer support efforts
  • Provide bilingual support when necessary to accommodate diverse clients or team members
