Job Requirements

  • High school diploma or equivalent
  • Proven experience in an office or receptionist role
  • Familiarity with Microsoft Office and Google Workspace
  • Effective communication skills
  • Ability to manage multiple tasks simultaneously
  • Professional phone etiquette
  • Availability to work in person
  • Comfortable working in a fast-paced environment

Job Qualifications

  • Strong computer literacy
  • Excellent organizational skills with the ability to multitask effectively in a busy office environment
  • Demonstrated experience in office management or administrative roles, including clerical experience and data entry skills
  • Bilingual abilities are highly desirable to serve diverse client needs effectively
  • Knowledge of multi-line phone systems and phone etiquette
  • Experience as a medical or dental receptionist is a plus
  • Personal assistant experience for varied administrative support
  • Exceptional time management skills to prioritize tasks efficiently while maintaining attention to detail

Job Duties

  • Greet visitors and clients warmly, ensuring they feel welcomed and attended to promptly
  • Manage multi-line phone systems, directing calls efficiently and professionally using proper phone etiquette
  • Handle appointment scheduling, calendar management, and coordinate meetings with precision
  • Perform data entry, filing, and maintain accurate records using Microsoft Office, Google Workspace, and other office software
  • Assist with clerical tasks such as proofreading documents, managing correspondence, and supporting office management activities
  • Support bookkeeping and basic financial tasks using QuickBooks or similar accounting tools
  • Provide customer support by addressing inquiries promptly and courteously, whether in person or via phone or email
