In the role of Receptionist / Customer Care Specialist at Shadeotech Window Fashions, you will be a key player in maintaining efficient office operations and delivering a warm, welcoming experience to clients and visitors. This full-time position offers a competitive hourly wage of $13.00 to $16.00, based on experience, with an expected work schedule of 35 hours per week. As the front face of the company’s office, you will be responsible for organizing and coordinating daily activities, providing exceptional customer service, and supporting the administrative needs of the team. Your responsibilities will span answering multi-channel customer inquiries, managing schedules for meetings and appointments, coordinating communication between sales representatives and installers, and ensuring the office and showroom environments are well-maintained and efficiently run.

Success in this position requires excellent organizational skills, a friendly and professional demeanor, and the ability to handle multiple ongoing tasks within a busy environment. You will engage directly with customers to assist with scheduling and follow-ups, provide administrative support through data entry, file management using HubSpot CRM, and assist with digital content creation including social media and blog updates. The role also involves practical office management tasks such as maintaining office supplies, equipment upkeep, and event planning for small in-house or off-site gatherings.

Job Requirements

  • High school diploma or equivalent
  • Minimum 1 year CRM software experience
  • At least 2 years customer service or client communication experience
  • Minimum 2 years Microsoft Office experience
  • At least 2 years appointment scheduling experience
  • Ability to commute or relocate to Carrollton, TX 75006
  • Spanish language skills preferred
  • Ability to work in person
  • Professional and friendly demeanor
  • Strong multitasking and organizational skills

Job Qualifications

  • Knowledge of office administration duties, systems, and procedures
  • Proficiency in MS Office (Excel, Outlook)
  • Experience using office equipment (printers, scanners, copier)
  • Familiarity with email scheduling tools
  • CRM experience (HubSpot preferred, but we will train)
  • Strong time-management and ability to multitask

  • High school diploma required
  • Additional admin training is a plus
  • Experience as a front desk receptionist or administrative assistant

  • Prior customer service or scheduling background

Job Duties

  • Greet and assist visitors at the showroom
  • Answer calls, texts, emails, and customer inquiries
  • Schedule meetings, customer appointments, and installer visits
  • Coordinate with sales reps and installers
  • Organize the office and showroom
  • Perform data entry and scan documents
  • Upload and attach documents/files into HubSpot CRM
  • Assist with email sequences, tasks, and follow-ups
  • Manage social media posts and simple content updates and blogs
  • Prepare and send thank-you cards to customers
  • Ensure invoices and payments are processed on time
  • Maintain office supplies, printers, copier, and scanner
  • Plan small in-house or off-site events (celebrations, meetings, etc.)
  • Provide general administrative support to management and staff
