The role of Front Desk Receptionist, also referred to as Patient Experience Specialist, plays a crucial part in supporting orthopedic providers by ensuring an efficient and welcoming front desk environment. This role is essential in facilitating smooth patient experiences from the moment they enter the facility. The Front Desk Receptionist acts as the first point of contact for patients, family members, visitors, and co-workers, establishing a positive relationship and reinforcing the center’s commitment to excellent customer service. This position requires the receptionist to handle various secretarial and administrative duties, including managing appointment scheduling systems such as HST and NextGen, processing insurance claims, and assisting with billing tasks.
The role operates on a rotational schedule, requiring availability to work two weeks on 12-hour shifts and one week on 10-hour shifts, with the ability to work Monday through Saturday by rotation. Daily reliable transportation is a must for this position. The responsibilities include welcoming visitors, monitoring lobby activities, answering telephones, updating patient records, collecting co-pays, and maintaining seamless communication across departments. The receptionist must exhibit professionalism, friendliness, and courtesy consistently, maintaining a positive attitude and adapting to procedural changes with openness. The job demands the ability to perform front office functions efficiently and to be a role model for customer service and patient care.

Job Requirements

Job Qualifications
- Prior face-to-face customer service experience or healthcare-related field experience
- Basic understanding of health insurance and medical billing
- Prior experience in a medical office preferred
- Strong customer service orientation with a positive attitude
- Ability to perform basic calculations including addition, subtraction, multiplication, and percentages
- Excellent communication skills
- Ability to respond to departmental requests promptly and positively
- Demonstrated decision-making ability and follow-through
- Willingness to accept new responsibilities
- Ability to recognize and analyze new situations and propose workable solutions
Job Duties
- Open the reception area timely and monitor lobby activities
- Welcome visitors and announce them to appropriate personnel
- Answer telephone calls, greet and direct patients and visitors
- Enter and update patient information in HST and NextGen
- Assist with insurance claim follow-up and billing tasks
- Check in patients by updating demographic and insurance details and collecting co-pays
- Operate office equipment and report malfunctions
- Interact with co-workers, patients, and visitors in a friendly and professional manner
- Perform front office duties efficiently and correctly
- Accept and adapt to changes in front desk procedures
- Provide a role model for customer service and excellent patient care
- Assist with other duties as assigned
- Maintain regular attendance at work
