The Front Desk Receptionist role at WellSpace Health's San Juan Center is a vital support position in the Healthcare Delivery Department. Reporting primarily to the Center Manager and the Health Center Supervisor, this full-time, non-exempt position offers a competitive hourly wage ranging from $22.64 to $29.43. The receptionist plays a crucial role in facilitating patient-centered care by managing front desk operations including patient intake, insurance verification, appointment scheduling, and payment posting. They serve as the first point of contact for patients, ensuring they receive a warm, efficient welcome and seamless access to medical, dental, and behavioral health services. Responsibilities extend to processing patient registrations and maintaining up-to-date client files, billing batch scrubbing, and fostering effective communication between health center staff and billing personnel.
In this role, the Front Desk Receptionist is not only expected to handle administrative tasks such as filing, faxing, and maintaining office appearance but also to participate actively in the health center's mission by supporting various operational needs, including mail services and opening/closing duties. Candidates with experience in healthcare settings and billing, familiarity with medical terminology, strong administrative capabilities, and proficiency in Microsoft Office and EHR systems will thrive in this position. Job Requirements
- High school diploma or equivalent
- One year administrative assistant experience or equivalent
- Experience with billing and insurance preferred
- Knowledge of medical terminology
- Computer literacy in Microsoft Office and database software
- CPR or CPR/AED certification
- Strong customer service skills
- Ability to communicate effectively both verbally and in writing
- Commitment to HIPAA and confidentiality
- Ability to adhere to infection control procedures
- Ability to work well in team and diverse environment
Job Qualifications
- Health center experience preferred
- High school diploma or equivalent required, some college preferred
- One year experience as an administrative assistant or equivalent combination of education and experience
- Experience with billing and insurance preferred
- Knowledge of medical terminology
- Strong administrative skills with attention to detail
- Ability to use standard office equipment including phone, fax, copier
- Computer literate in Microsoft Word, Excel, PowerPoint, Outlook email and database software
- Team player and service oriented with excellent interpersonal skills
- Current CPR or CPR/AED certification
- Excellent customer service experience including active listening, problem solving, and ability to remain calm in stressful situations
- Ability to communicate clearly and concisely both verbally and in writing
- Demonstrated commitment to provision of services for underserved and sensitivity working with diverse populations
- Fluency in additional languages preferred
- Commitment to HIPAA and ability to abide by professional ethics and maintain confidentiality
- Adherence to infection control procedures
- Assist and support Center/Department/Program to meet High Reliability standards
Job Duties
- Greet patients and visitors, answer questions and provide assistance and directions as necessary
- Provide intake activities and update records including processing and maintaining client files, daily charts preparation and purging files
- Utilize EHR system to schedule new and follow-up appointments for patients
- Prepare, process and maintain up to date client files
- Provide general administrative support such as typing and filing to supervisor and department
- Maintain office and lobby appearance ensuring a welcoming and quiet environment
- Provide general mail and fax service for all departments
- Perform opening and/or closing duties
- Process billing fees and payments
- Travel when necessary to support operational needs
- Other duties as assigned
