Job Requirements

  • High school diploma or equivalent
  • One year prior administrative assistance or equivalent work experience
  • Ability to multi-task
  • Excellent verbal communication and phone etiquette skills
  • Excellent customer service skills
  • Proficiency in Microsoft Office products (Word, Excel, PowerPoint) and electronic mail system (Outlook)
  • Proficiency in office equipment such as computer, copier, phone and fax machine
  • Regular and consistent attendance
  • Ability to observe safety and security procedures and use equipment and materials properly
  • Ability to conform with and abide by all workplace policies, work procedures, and instructions
  • Ability to establish and maintain effective working relationships with company employees and external contacts

Job Duties

  • Welcome visitors by greeting them, in person or on the telephone in a professional, friendly and hospitable manner and assisting them with their needs
  • Coordinate agency hospitality including ordering flowers, gifts, and catering services
  • Manage office supply inventory, ordering, and receiving
  • Maintain lobby and convenience center daily
  • replenishing supplies, coffee, etc. as needed
  • Manage conference room schedules
  • Provide general clerical support and assistance including processing incoming/outgoing mail, electronic distribution of company documents, printing, copying, scanning, preparation of office documents, and large mailings
  • Assist with planning and facilitation of hosted events, including guest lists, invitations, venue preparation, and event production
