Job Requirements
- High school diploma or equivalent
- One year prior administrative assistance or equivalent work experience
- Ability to multi-task
- Excellent verbal communication and phone etiquette skills
- Excellent customer service skills
- Proficiency in Microsoft Office products (Word, Excel, PowerPoint) and electronic mail system (Outlook)
- Proficiency in office equipment such as computer, copier, phone and fax machine
- Regular and consistent attendance
- Ability to observe safety and security procedures and use equipment and materials properly
- Ability to conform with and abide by all workplace policies, work procedures, and instructions
- Ability to establish and maintain effective working relationships with company employees and external contacts

Job Duties
- Welcome visitors by greeting them, in person or on the telephone in a professional, friendly and hospitable manner and assisting them with their needs
- Coordinate agency hospitality including ordering flowers, gifts, and catering services
- Manage office supply inventory, ordering, and receiving
- Maintain lobby and convenience center daily
- replenishing supplies, coffee, etc. as needed
- Manage conference room schedules
- Provide general clerical support and assistance including processing incoming/outgoing mail, electronic distribution of company documents, printing, copying, scanning, preparation of office documents, and large mailings
- Assist with planning and facilitation of hosted events, including guest lists, invitations, venue preparation, and event production
