The role available is for a Front Desk Medical Office Assistant, a pivotal position responsible for managing the front office operations at the ASC. This position primarily involves greeting patients, handling daily administrative functions, and maintaining accurate records related to patient charts and financial deposits. The assistant will be responsible for preparing patient charts daily, scheduling patient appointments using the ASC’s proprietary computer system (HST), and ensuring that all updates and changes are tracked and managed efficiently. Effective communication skills are essential, as the role requires interacting with patients by phone to discuss surgery schedules and financial expectations several days before procedures. Offering payment plans according to policy and ensuring timely co-pay collections are crucial financial responsibilities associated with this role.

In addition to managing patient check-ins and scheduling, the assistant prepares deposits, completes deposit logs, scans invoices, and charts into the Electronic Medical Records (EMR) system. They will uphold HIPAA standards, ensuring patient privacy and confidentiality are maintained throughout all interactions and data management tasks. Job Duties

  • Prepare charts daily
  • Schedule patients into the ASC computer program at least 2 weeks out and check daily for updates
  • Assist with phone calls to patients 3-5 days prior to surgery regarding financial expectations
  • Offer patients payment plans per policy
  • Check in patients
  • Prepare deposits and complete deposit logs
  • File packing slips
  • Answer phones professionally within 4 rings
  • Scan invoices and charting into the EMR system
  • Log chart audits and patient satisfaction scores
  • Complete co-pay collections and deposit logs in a timely manner
  • Demonstrate professional, courteous demeanor with patients, visitors, and staff
