The Front Desk Guest Service Representative (GSR) plays a vital role in this dynamic environment, acting as the first point of contact for guests and ensuring their needs and requests are met promptly and courteously. This position requires a warm and friendly demeanor, strong communication skills, and the ability to multitask effectively in a fast-paced setting. The GSR is responsible for maintaining positive guest interactions by welcoming guests with a friendly greeting and smile, handling reservation requests, performing check-in and check-out procedures, managing guest accounts, and resolving concerns or complaints efficiently. The GSR also supports hotel operations by coordinating with housekeeping and management to maintain room quality, ensuring the safety and security of the hotel premises, and preparing detailed reports on occupancy and revenue.

Beyond guest services, this role involves collaboration with various departments, cross-training in front desk shifts, and contributing to special event coordination within the hotel. The position requires adherence to OSHA standards and confidentiality standards related to guest information. Physical demands may include standing for extended periods, lifting items weighing up to 50 pounds occasionally, and adapting to changing work environments, including indoor and outdoor conditions. Shifts may vary and include nights, weekends, and holidays to accommodate business needs. Ideal candidates will bring prior customer service experience, basic office skills, and a professional appearance, along with the ability to multitask and work independently with minimal supervision. This role is essential to ensuring guests have a positive and seamless stay, which ultimately supports the hotel's ongoing success and reputation in the hospitality industry.

Job Requirements

  • Legally authorized to work in the United States
  • 17 years or older preferred
  • Able to comfortably lift 50 lbs
  • Basic math and cash handling skills
  • Strong communication skills
  • Ability to multitask and work independently
  • Willingness to work flexible shifts including nights weekends and holidays

Job Qualifications

  • 1-2 years in a previous customer service position preferred
  • Basic office skills including math cash handling computer skills timekeeping
  • Must maintain a professional appearance in the provided uniform with a consistently friendly attitude toward guests and staff
  • Must be able to easily and frequently change from one task to another while operating a computer and or switchboard and work with minimal supervision
  • Basic English communication verbal and written skills
  • May be required to work nights weekends and or holidays

Job Duties

  • Welcome guests with friendly greeting and smile and perform all guest related services including wake up and courtesy calls handle concerns complaints and requests provide coffee newspaper and location information keep lobby clean and orderly
  • Handle reservation requests check guests in and out handle guest accounting and cashier functions
  • Make change and monitor reservations review and report rate availability using front desk computer system update and monitor room status promote future sales
  • Maintain confidentiality of guest information and pertinent hotel data
  • Perform daily cash count prepare bank deposit and review audit packages
  • Complete reporting for daily occupancy revenue weekly inn operations expenditures ledger and update corporate memorandum and or operations manuals
  • Communicate with Inn Management and other GSRs about problems requests and or concerns regarding guests or rooms
  • Work with housekeeping to communicate checkouts stay overs sleepers skips rooms cleaned and rooms in need of maintenance
  • Cross train in all front desk shifts and other departments in the hotel train new hires in front desk functions
  • Night Audit shift requires daily reconciliation of transactions and preparing audit package for hotel management approval
  • Comply with all OSHA standards
  • Provide special services for guests upon request
  • Assist in coordinating special events such as holiday gatherings bus tours on site
  • Perform other duties as assigned
