This full-time Front Desk Coordinator role is essential for ensuring the smooth operation of the surgery center's patient services. The position operates during regular weekday hours, Monday through Friday from 7:30 am to 4:00 pm, without the need for evening, weekend, or major holiday shifts, providing a consistent and predictable work schedule. The coordinator serves as the initial point of contact for patients, playing a key role in facilitating admissions and scheduling while maintaining a welcoming atmosphere. Core responsibilities include checking patients in and out, confirming appointments, scheduling procedures and transportation, verifying insurance details, and managing electronic medical records using EMR systems such as Nextgen and Luma. While prior experience with these specific EMR systems is not a strict requirement, familiarity with electronic medical records is necessary to ensure accuracy and efficiency.

Beyond routine clerical duties, the patient services coordinator must ensure all pre-procedure documentation and communication are completed accurately, assist with patient transportation when necessary, and maintain stringent confidentiality and security of medical and financial records. The role also involves collaboration with multiple internal teams and external parties to guarantee proper communication of appointment changes and insurance details. Attention to detail, strong organizational skills, and excellent verbal and written communication abilities are critical to successfully managing the volume and complexity of patient interactions and administrative responsibilities.

Job Requirements

  • High school diploma or GED required
  • 1-2 years related experience preferably in a medical setting with insurance billing
  • proficiency in computer use and software including Microsoft Office

  • willingness to work Monday through Friday 7:30 am to 4:00 pm without evenings, weekends, or holidays

Job Qualifications

Job Duties

  • Schedule and input all appointments in the scheduling module in a timely and efficient manner
  • assure all pre-procedure and preoperative activities are scheduled or completed
  • manage patient cancellations and center cancellations according to center scheduling parameters
  • print patient schedules and pull patient charts daily
  • facilitate the admission process by professionally greeting patients and visitors and obtain patient identification and insurance information to initiate admissions
  • assemble and maintain patient medical and financial records securely and confidentially
  • complete front-end billing procedures ensuring accurate information entry into registration modules
  • perform insurance verification and handle prior authorizations as required by payors
  • assist with patient transportation following Company Transportation Policy
  • ensure appropriate signatures on all necessary charts and admission data per FMCNA policies
  • accurately scan and file documents within 24 hours of visits including physician reports
  • communicate changes regarding procedures and insurance to internal parties and update patient records promptly
  • perform daily encounter checks to assure reporting accuracy
  • coordinate collection, processing, maintenance, storage, retrieval, documentation, and distribution of medical records per policies
  • assure documentation of medical record release logs
  • provide information for research or studies involving patient care per policy
  • oversee office materials including inventory shipments and deliveries
  • perform other duties as assigned
