The Front Desk Coordinator I role at GI Alliance is a critical position responsible for managing the smooth operation of the front office and serving as the initial point of contact for patients and visitors. This role involves performing a broad range of clerical and administrative duties to support office managers and healthcare providers. Responsibilities include answering high-volume telephone calls with professionalism, accurately scheduling patient appointments and procedures, and managing patient check-in and check-out processes. The coordinator must ensure all patient information and registration forms are complete and accurate, collect and reconcile patient and insurance payments daily, and verify account balances while providing necessary information to patients regarding outstanding balances.

This position also requires maintaining and organizing patient charts within the Electronic Medical Records (EMR) system, preparing charts in advance, scanning relevant documents, and transcribing correspondence as needed. The Front Desk Coordinator I plays a pivotal role in maintaining the efficiency and organization of the front office, including inventory management of office supplies. Confidentiality is paramount, as the duties require managing sensitive patient data and ensuring compliance with healthcare privacy standards.

The ideal candidate will have a minimum of two years of experience working in a medical office environment, particularly with front office or scheduling responsibilities. Proficiency in computer programs and applications, such as Microsoft Excel, PowerPoint, email, and other office software, is essential. The role demands excellent communication skills, both verbal and written, and the ability to learn new computer systems quickly. Strong organizational skills, attention to detail, and the ability to manage multiple tasks simultaneously while maintaining a calm and professional demeanor are critical to success in this position.

Job Requirements

  • High school diploma or GED
  • Minimum of two years of experience in a medical office or front office or scheduling experience preferred
  • Entry level 1-4 years experience and or meet the basic requirements of the job with the need for additional supervision
  • Excess of 4 years experience if meeting only the basic requirements of the job with need for additional supervision
  • Knowledge of clinic policies and procedures
  • Knowledge of computer programs and applications
  • Knowledge of basic arithmetic to make calculations balance and reconcile figures and make changes accurately
  • Skill in operating office equipment
  • Skill in handling paperwork and filing adequately
  • Skill in handling incoming phone calls and triaging appropriately
  • Skill in written and verbal communication
  • Ability to learn and use other computer programs including Microsoft Excel email Internet and Microsoft PowerPoint
  • Ability to sort and file materials correctly by alphabetic or numeric systems
  • Ability to flexibly respond to changing demands
  • Ability to organize and prioritize tasks effectively

Job Duties

  • Answer and screens high volume telephone calls in a courteous manner and record messages for providers and other personnel
  • Schedule patient appointments and procedures according to established policies and procedures
  • Check-in patients upon arrival at the office as well as check-out upon departure
  • Obtain accurate information from patients and ensure all registration forms are complete
  • Collect patient and insurance payments and reconcile charges on a daily basis
  • Verify account balances and refunds for accuracy
  • Provide information to patients regarding unpaid balances
  • File records in appropriate sections of patient charts in EMR
  • Prepare patient charts in advance and scan documents into charts in EMR
  • Transcribe letters and create forms as needed
  • Maintain files and records in a confidential manner
  • Maintain organization and efficiency of front office including office supply inventory
  • Maintain patient confidentiality
  • Perform other related duties as directed or assigned
