The role of Front Desk Coordinator at CareNow is pivotal to the smooth and efficient operation of the clinic. The Front Desk Coordinator will play a crucial role in monitoring patient flow, managing clinic opening and closing procedures, and ensuring compliance with financial policies and operational standards. Supervisory responsibilities include training front desk staff, managing performance issues, and overseeing attendance and scheduling to align workforce allocation with clinic demands. Additionally, this role involves collaboration with marketing teams to implement and maintain marketing programs, as well as preparing for audits, reviews, and surveys to ensure continuous compliance and quality improvement. Job Requirements
- Flexible to work during CareNow’s hours of operation Monday through Saturday 8 a.m. to 8 p.m. and Sunday 8 a.m. to 5 p.m.
- One year of experience in a medical office setting
- Ability to obtain BLS Certification within 30 days of start
- Ability to obtain Federal Breath Alcohol Screening Certification and Federal Drug Screening Certification within three months of employment or promotion
- Experience with electronic health record systems preferred
- Supervisory experience preferred
Job Qualifications
- One year of experience in a medical office setting
- One year of experience in the supervision of staff is helpful
- Experience using an electronic health record system is beneficial
- Ability to obtain BLS Certification within 30 days of start
- Ability to obtain Federal Breath Alcohol Screening Certification and Federal Drug Screening Certification within three months of employment or promotion
Job Duties
- Monitor patient flow to ensure clinic is operating efficiently including monitoring wait times and the Web Check-in process
- Assist with management of daily clinic operations including ensuring the clinic is opened and closed appropriately and in a timely manner
- Supervise and train front desk staff to ensure that all financial policies, timekeeping/attendance, established practices, and standards are followed
- Assist with managing individual or team performance including managing visitor issues or complaints and providing necessary follow-up training to staff when needed
- Create a work schedule for all patient representatives based on clinic needs
- Partner with marketing to correctly implement and maintain marketing programs
- Prepare for and successfully complete clinic audits, reviews, and surveys
