Eurostampa is currently seeking a Front Desk Coordinator to join their administrative team at the Napa, California location. This position is part-time, offering an hourly rate of $18, with working hours from 2 PM to 5 PM, Monday through Friday. Reporting to the Customer Service Manager, the Front Desk Coordinator plays an essential role in managing the reception area and serving as the first point of contact for all visitors, clients, and employees. The role is customer-focused, requiring a motivated individual with a strong work ethic who is capable of delivering a positive impression of the company.

The Front Desk Coordinator is responsible for answering and directing incoming calls, greeting visitors and clients with professionalism, and maintaining the cleanliness and orderliness of the reception and conference rooms. The role involves preparing refreshments and meals for meetings, managing conference room bookings and supplies, and ensuring the front office environment is hospitable and well-stocked. The ideal candidate will exhibit excellent communication skills, attention to detail, and the ability to multitask effectively in a fast-paced setting. They will also handle administrative duties such as maintaining Wi-Fi password stocks, ordering supplies, handling floral arrangements, and supporting other departmental activities as needed. This role requires physical capability for tasks such as lifting supplies up to 25 pounds, and the ability to perform general cleaning and upkeep of the reception area and nearby outdoor spaces.

Job Requirements

  • High school diploma or general education degree (GED)
  • One or more years of receptionist experience
  • Ability to sit for long periods of time
  • Possess good hearing and communication skills
  • Adequate near and far vision to read documents, computer screens and recognize people
  • Use of both hands and fingers for keyboard typing, answering phone and handling paperwork
  • Ability to lift and carry up to 25 lbs
  • Ability to stand, walk, kneel, squat, stoop and reach overhead
  • Ability to work part-time from 2 PM to 5 PM, Monday through Friday onsite in Napa, California

Job Duties

  • Answer incoming calls promptly, screen, forward, take messages and direct them to the appropriate person or department
  • Greet and welcome visitors, clients, vendors and employees in a professional demeanor
  • Clean and wipe down surface areas daily in the morning and afternoon including kitchen surface, conference rooms and coffee rooms
  • Set up notebooks and pens in all conference rooms and inspect notebooks after each meeting
  • Wash all dishes in sink and put them away daily
  • Direct clients to conference rooms for press checks or meetings
  • Responsible for timely set-up refreshments and clean-up after meetings
  • Pickup or order online lunch for customers as required
  • Prepare and deliver meals to conference rooms
  • Prepare gifts for customers
  • After a press check remove labels from bottles being used and store them properly
  • Maintain and manage conference room calendars
  • Develop and maintain a clear understanding of the company’s organizational structure, key departments, and reporting relationships
  • Maintain and create stock of Wi-Fi passwords for clients
  • Purchase and maintain rooms stocked with coffee, other drinks, snacks, utensils and supplies
  • Purchase and create floral arrangements weekly for front office lobby
  • Inspect women’s restroom daily to assure adequate supplies of paper towels, hand soap and air freshener
  • Assist with checking coffee supplies weekly in production break room, expiration dates and communicate with supplier
  • Provide general administrative and clerical support to the team
  • Assist with appointment setup for specific projects as needed
  • Maintain the reception area tidy
  • Water potted trees outside
  • Blow or sweep leaves away by the front door and picnic area
  • Report any abnormality to janitorial service
  • Observe company work rules and safety regulations
  • Other duties as assigned
