The Full-Time Receptionist position at Florida Clearinghouse presents a unique opportunity to be the welcoming face and primary point of contact for residents, guests, and employees. This role demands flexibility to work within the 8:00 a.m. to 8:00 p.m. shift, covering approximately 30 hours per week, including alternating weekends and holidays. The Receptionist's key responsibilities include managing both internal and external calls with professional etiquette, taking detailed messages, and communicating pertinent information accurately. Greeting visitors and residents warmly while providing clear directions and answers to inquiries is essential to fostering a friendly and supportive environment.
Additionally, the role involves various administrative duties such as collating brochures for the marketing department, preparing meal tickets for team members and family members, and maintaining updated lists including Resident Phone Lists, Email Lists, Guest Logs, and Sign-In Logs. The Receptionist also plays a crucial part in organizing appointments for residents and their families, including hairdresser visits, transportation services, and other essential needs, enhancing the convenience and comfort of the residents.
Maintaining a neat and organized front desk and entry area is imperative, contributing to the overall welcoming atmosphere. Responsibilities extend to managing and distributing mail to residents, the Executive Director, and Department Heads, ensuring effective communication flow within the organization. Adherence to company personnel policies and operational procedures is mandatory, upholding the organization's standards and commitment to quality service delivery.
Previous experience in senior living customer service is preferred, as it equips the Receptionist with the sensitivity and skills needed to interact effectively with elderly residents. Job Duties
- Carries out proper etiquette when answering the telephone and reception duties as required
- takes complete messages with pertinent information and communicates messages to the intended recipient
- greets residents and visitors
- answers inquiries and gives directions
- collates brochures for the marketing department
- prepares meal tickets for team members and family members, tallies meal count sheets for the Dining staff
- updates the Resident Phone List and Email List, as well as Guest and Sign-In Logs as necessary
- manages appointments for residents and family members such as but not limited to hair dresser, transportation, etc.
- maintains and keeps desk and entry area neat and organized
- organizes, distributes mail to residents, Executive Director and Department Heads
- maintains adherence to all company personnel policies and established operating policies and procedures
- other duties as assigned
