Job Description

Florida Clearinghouse is a key entity associated with the Florida Agency for Health Care Administration, dedicated to supporting health care services in the state. Focused on enhancing operational support for health care facilities and administrative functions, the organization places a strong emphasis on efficient communication and guest relations. The position available is on a part-time or full-time shift basis with varying hours including holidays and weekends, typically split between 8am to 4pm and 4pm to 8pm shifts to cover essential administrative support needs consistently throughout the day.

The role primarily involves front desk and administrative responsibilities such as greeting guests, residents, and employees in a courteous and professional manner. This position acts as the first point of contact, managing both external and internal phone communications, taking comprehensive and accurate messages, and providing general information as requested. The incumbent will also be responsible for organizing brochures for marketing, coordinating meal ticket distribution and tallying counts for dining services, and maintaining updated records such as resident phone and email lists.

This job requires excellent organizational skills to keep the reception area neat and ensure all logs and lists are up to date. The individual will also handle appointment scheduling for residents and their families, manage mail distribution to relevant parties including executive directors and department heads, and uphold company policies rigorously to maintain operational integrity. Additional duties may be assigned as needed, highlighting the dynamic nature of this role within the organization. This position is essential for maintaining smooth communication channels and supporting the broader administrative functions that contribute to the agency's efficient operation.

Job Requirements

Job Duties

  • Carries out telephone answering and reception duties as required
  • Takes complete messages with pertinent information and communicates messages to the intended recipient
  • Greets residents and visitors
  • Answers inquiries and gives directions
  • Collates brochures for the marketing department
  • Prepares meal tickets for team members and family members, tallies meal count sheets for the Dining staff
  • Updates the Resident Phone List and Email List, as well as Guest and Sign-In Logs as necessary
  • Manages appointments for residents and family members such as but not limited to hair dresser, transportation, etc.
  • Maintains and keeps desk and entry area neat and organized
  • Organizes, distributes mail to residents, Executive Director and Department Heads
  • Maintains adherence to all company personnel policies and established operating policies and procedures
  • Other duties as assigned
