The position offered is that of a Receptionist - a critical front-desk role responsible for greeting guests, residents, and employees with warmth and professionalism. In addition to managing both external and internal communications, the role involves handling calls, passing messages accurately, and providing general information. The role requires the ability to multi-task efficiently in a dynamic environment, attending to the varied needs of residents and staff while maintaining strict confidentiality and organizational compliance.

Working hours for this position are varied, including shifts from 8 a.m. to 4 p.m. and 4 p.m. to 8 p.m., with holiday and weekend availability a mandatory requirement. The Receptionist will be expected to manage a variety of administrative tasks such as collating brochures for marketing, preparing meal tickets, and maintaining updated logs for guests and residents. This role demands meticulous attention to detail as it involves maintaining accurate phone and email lists as well as managing appointment schedules for residents and their families.

In performing these duties, the Receptionist will act as an essential communication link, ensuring information is relayed in a timely and effective manner. The position also requires maintaining the reception area, organizing mail, and supporting the operational efficiency of the departments by adhering to all company policies and procedures. Other assigned duties may arise, requiring flexibility and a proactive approach to workplace demands.

Job Duties

  • Carries out telephone answering and reception duties as required
  • Takes complete messages with pertinent information and communicates messages to the intended recipient
  • Greets residents and visitors
  • Answers inquiries and gives directions
  • Collates brochures for the marketing department
  • Prepares meal tickets for team members and family members, tallies meal count sheets for the Dining staff
  • Updates the Resident Phone List and Email List, as well as Guest and Sign-In Logs as necessary
  • Manages appointments for residents and family members such as but not limited to hair dresser, transportation, etc.
  • Maintains and keeps desk and entry area neat and organized
  • Organizes, distributes mail to residents, Executive Director and Department Heads
  • Maintains adherence to all company personnel policies and established operating policies and procedures
  • Other duties as assigned
