This position involves greeting guests, residents, and employees warmly and professionally, effectively serving as the first impression of the organization. The receptionist will manage both external and internal calls, ensuring they are answered promptly and messages accurately relayed to appropriate personnel. Duties include providing general information, assisting with inquiries, and directing callers or visitors correctly. Because this role supports multiple departments including marketing and dining services, the receptionist will handle a variety of administrative responsibilities such as collating brochures, preparing meal tickets, maintaining updated contact lists, appointment scheduling, and organizing mails.

This job requires versatility and excellent organizational skills as it combines customer service with administrative functions. It also demands flexibility in scheduling, as the shifts can vary, including holidays and weekends, with hours between 8 am to 4 pm and 4 pm to 8 pm. Job Requirements

  • Previous experience in a receptionist or customer service role preferred
  • Availability to work holidays and weekends
  • Ability to work varied shifts between 8am and 8pm
  • Strong communication skills
  • Good organizational skills
  • Basic computer knowledge

Job Duties

  • Carries out telephone answering and reception duties as required
  • Takes complete messages with pertinent information and communicates messages to the intended recipient
  • Greets residents and visitors
  • Answers inquiries and gives directions
  • Collates brochures for the marketing department
  • Prepares meal tickets for team members and family members, tallies meal count sheets for the Dining staff
  • Updates the Resident Phone List and Email List, as well as Guest and Sign-In Logs as necessary
  • Manages appointments for residents and family members such as but not limited to hair dresser, transportation, etc.
  • Maintains and keeps desk and entry area neat and organized
  • Organizes, distributes mail to residents, Executive Director and Department Heads
  • Maintains adherence to all company personnel policies and established operating policies and procedures
  • Other duties as assigned
