The Front Desk Associate at Thrive Wellness plays a crucial role in the smooth operation of the wellness center. This position acts as the first point of contact for clients, creating a warm and professional atmosphere upon arrival. The role involves a variety of administrative and customer service tasks, such as greeting clients, managing appointment scheduling, verifying insurance and eligibility, and handling general office duties. The ideal candidate is not only friendly and approachable but also detail-oriented and highly organized to manage multiple responsibilities efficiently. This position requires proficiency in electronic medical records (EMR) systems, a strong understanding of medical and mental health benefits, and excellent communication skills. Additionally, the Front Desk Associate supports both clients and providers by ensuring accurate data entry, managing billing inquiries, and maintaining client records with the highest level of confidentiality and accuracy.
Working under varied hours that may include evenings or weekends based on operational needs, the Front Desk Associate must exhibit flexibility and adaptability to thrive in a dynamic healthcare environment. Job Requirements
- Must pass a federal background check at hire and every three years
- Must adhere to the drug-free workplace act
- Demonstrate maturity of judgment, attitude, and life skills
- Ability to adapt to change and remain flexible
- Strong team player skills and ability to work in a busy environment
- Strong communication skills with an upbeat, positive, and professional demeanor
- Excellent interpersonal, verbal, and written communication
- Ability to prioritize and manage time independently
- Must be able to work Monday to Friday 9am to 6pm with an hour lunch break
- Ability to commute to Reno, NV 89501
- Willingness to work some evening or weekend shifts as needed
Job Qualifications
- Associate's or bachelor's degree preferred
- Bilingual speaking preferred
- Medical office experience preferred
- Minimum of one year related work experience
- CPT and ICD coding experience preferred
- Analytical skills to identify billing errors
- Detail-oriented with strong organizational skills
- Proficient with electronic medical records systems
- Understanding of medical and mental health benefits coverage including deductibles and out-of-pocket maximums
- Knowledge of medical and mental health terminology
- Strong computer skills including familiarity with Google Suite and insurance web portals
- Competency and sensitivity in multicultural and diversity issues
Job Duties
- Greet clients warmly and manage client check-in and check-out in EMR
- Schedule, confirm, and reschedule appointments by phone, in person, or online
- Verify client insurance eligibility and benefits daily and notify clients of required updates
- Manage client records, update demographics, and ensure all forms and consents are complete
- Process payments, provide receipts, and manage payment plans for outstanding balances
- Communicate with clients professionally by answering phones and emails and responding to inquiries
- Assist with clinical inbox management and ensure timely follow-up
- Maintain a clean and welcoming office and waiting area
- Perform general administrative duties such as filing, faxing, scanning, and data entry
- Uphold professionalism and demonstrate good team collaboration and communication
