The Front Desk Agent is a vital part of the hotel’s operations, serving as the face of the hotel and the first point of contact for guests. This role requires a proactive, friendly, and professional individual capable of handling multiple priorities smoothly and efficiently. Responsibilities include greeting guests warmly, facilitating their check-in and check-out processes, and providing accurate information about hotel amenities and local attractions. The Front Desk Agent must demonstrate expertise in using the Property Management System for managing reservations, billing, and guest requests. Additionally, the candidate will possess the ability to upsell room types to maximize hotel revenue. Being on duty as the Manager on Duty (MOD) during scheduled times, this role demands strong leadership, decision-making skills, and the capacity to manage guest concerns tactfully and swiftly. The Front Desk Agent will also be entrusted with administrative duties such as data entry, report generation, and maintaining communication logs to document daily events and incidents. Maintaining the visual appeal of the lobby and other public areas is also a priority to create a welcoming atmosphere.

This position requires flexibility in work schedule including weekends and holidays, along with the stamina to stand for long periods and handle physical tasks such as lifting items up to 50 pounds. The Front Desk Agent must also ensure compliance with all hotel policies and brand standards through continuous training and proactive adherence to procedures designed to safeguard guest privacy, safety, and security. Possessing excellent communication skills, a pleasant personality, and the ability to work cohesively in a team environment are essential attributes. Candidates must be fluent in English to communicate effectively with a diverse guest demographic. Job Duties

  • Provide prompt friendly courteous and professional guest service
  • perform check-in and check-out of hotel guests in a timely and professional manner
  • act as the manager on duty (MOD) when scheduled
  • register guests issue room keys provide information on hotel services local area and room location
  • answer phones promptly and courteously
  • upsell rooms where possible to maximize hotel revenue
  • be proficient on the use of the Property Management System
  • complete all brand trainings for their discipline
  • have a good understanding of all hotel operating procedures
  • accurately process all cash and credit card transactions in accordance with established procedures
  • administrative responsibilities such as data entry reporting
  • respond appropriately to guest complaints and guest requests and make appropriate service recovery actions to ensure total guest satisfaction
  • perform other duties as assigned including guest room tours special guest requests breakfast setup cleaning lobby area setting up meeting room data entry document scanning and preparing reports
  • read and document all events incidents in the communication log
  • ensure the proper appearance of the lobby and all public areas including the breakfast area
  • ensure processes are followed to protect the identity safety and security of guests and employees
  • be proficient on the use of all front office equipment such as credit card machine copier and fax
  • be willing and able to work any shift
  • have complete knowledge of room types and offered rate plans
  • fully understand the hotels franchise policy on guaranteed reservations and no shows
  • process cancellations and modifications to reservations
  • promote goodwill by being courteous friendly and helpful to guests managers and associates
  • promote teamwork and quality service through daily communications and coordination with other departments
