The Front Desk Assistant will be responsible for managing incoming phone calls, coordinating guest arrivals and appointments, maintaining a neat and inviting lobby area, and performing essential office duties such as data entry and mail distribution. Additionally, the individual will supervise visitor admittance and ensure security protocols are followed, contributing to the overall safe and well-organized environment. Collaboration with other departments to enhance operational flow is also a vital aspect of this position. Job Requirements

  • High school diploma or equivalent
  • Excellent verbal and written communication skills
  • Proficient in using multi-line telephone systems and office equipment
  • Ability to multitask effectively in a fast-paced environment
  • Strong interpersonal skills
  • Basic computer proficiency including Microsoft Office
  • Previous experience in a front desk or receptionist role is preferred

Job Qualifications

  • Ability to operate office machinery such as phone systems, printers, and computers
  • Understanding of Microsoft Office Suite and/or appointment management software

Job Duties

  • Offer polite and professional help to visitors, clients, and staff members
  • Manage incoming phone calls through the use of a multi-line telephone system, ensuring timely and accurate responses
  • Coordinate guest arrivals, departures, and appointment arrangements where applicable
  • Make sure the front desk and lobby area are clean, orderly, and inviting to visitors
  • Perform essential office responsibilities like entering data, organizing paperwork, and distributing incoming mail
  • Supervise visitor admittance and enforce necessary security procedures
  • Encourage transparent and open communication with other departments to support smooth operations
  • Handle queries and resolve grievances, or direct them to the appropriate personnel
