The Front Desk Assistant role at the Roux Institute is a pivotal position centered on enhancing campus and community experience. This temporary position, paying $22 per hour, involves coordinating the entry area experience to ensure visitors receive a welcoming, inclusive, and informative reception. The Front Desk Assistant is typically the first face that guests, students, and community members encounter and therefore plays a crucial role in representing the university's values and culture. Responsibilities include guiding visitors through the check-in process, connecting them to their hosts or the appropriate resources, and fostering a friendly and professional environment.

Beyond visitor management, this role requires strong communication skills for collaborating with the operations team, campus security, and IT/AV support to maintain seamless campus functioning. The assistant must handle conflicts or unexpected situations with diplomacy and discretion, particularly when managing confidential information. Daily troubleshooting and addressing inquiries from campus users are vital elements of this role.

The position also entails performing various administrative and clerical tasks such as managing shared email accounts, handling mail and package delivery, supporting students and employees with digital resources access, scheduling meetings and booking rooms, and creating ID cards. Maintaining a high standard of campus aesthetics by organizing furniture and equipment, restocking communal areas, light cleaning, and assisting with event setups are part of the spatial upkeep duties.

Operational support includes facilitating projects in coordination with the Campus Operations Manager, communicating with vendors, and providing detailed feedback reports to the Director of Operations. This role requires excellent organizational skills, adaptability in a fast-paced environment, and proficiency with Microsoft Office and other digital tools.

Job Duties

  • Communicates effectively with other operations team members verbally and through documentation and takes a team-oriented approach to their work

  • Addresses day-to-day troubleshooting questions brought up by campus users
  • Works with IT/AV to ensure technical support for equipment, especially in regard to supporting evening classrooms
  • Coordinates with campus security guard for campus safety
