The Front Desk Agent at Hotel Kansas City plays a vital role in the guest experience and the hotel's revenue operations. This position is responsible for delivering a high standard of hospitality by providing exceptional service to guests from the moment of arrival through checkout. The agent serves as the first point of contact, greeting and assisting guests with their needs, inquiries, and requests while ensuring efficient and accurate processing of reservations and payments. This includes acknowledging and responding to guest needs, registering guests, pre-assigning rooms based on special requests, and managing checkouts with clarity on charges. The role also involves promoting the hotel’s services and amenities, answering questions about the hotel and local area, and maintaining an atmosphere of goodwill and service throughout all guest interactions. Front Desk Agents must comply with the company’s safety and security policies and uphold uniform and appearance standards. Additional responsibilities may include managing communications between guests and various hotel departments, handling cash and credit transactions with precision, posting charges to appropriate accounts, assisting with valet, shuttle, and baggage services, and supporting other duties as assigned by the Director of Rooms and Front Desk Manager.
This position requires strong communication and interpersonal skills with the ability to effectively handle guest complaints and concerns in a positive and professional manner. Candidates must be comfortable working overnight shifts and must demonstrate proficiency in reading, understanding, and speaking English clearly. Job Duties
- Acknowledge and respond appropriately to guest needs and requests
- Report as scheduled and in compliance with uniform standards and appearance
- Comply with the company’s prescribed safety and security policy, procedure and protocol
- Promote an atmosphere of goodwill and service during all guest interaction
- Answer inquiries pertaining to hotel services and directions to the hotel, area shopping, dining and entertainment
- Effectively sell the hotel through prescribed standards for booking reservations
- Stay abreast of hotel selling strategies and any marketing promotions, coupons, and discounts
- Pre-assign rooms taking consideration of special requests or needs
- Register guests and collect valid method of payment while maintaining accurate information on registration
- Prepare and explain charges at time of check out and finalize guest charges
- Transmit and receive messages to guests and other colleagues
- Keep an accurate accounting of all cash, credit card and credit transactions
- Post charges to room folios such as room and tax, food, liquor, telephone, laundry, movies etc.
- Deposit guest valuables in hotel safe or safety deposit box
- Communicate with applicable colleagues any status change to guest rooms, meeting or banquet facilities
- Assist with valet, shuttling guests, baggage handling due to business demands
- Perform other tasks as assigned by the Director of Rooms and Front Desk Manager
