Job Requirements

  • Proven experience in office administration or clerical roles, preferably as a receptionist or personal assistant
  • Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and basic data entry skills
  • Excellent organizational skills with the ability to multitask efficiently in a fast-paced environment
  • Exceptional customer service skills combined with professional phone etiquette
  • Bilingual abilities are highly desirable to serve diverse client needs effectively
  • Experience with QuickBooks or bookkeeping is a plus for handling financial records
  • Prior experience in medical or dental receptionist roles is advantageous but not required

Job Duties

  • Greet visitors, clients, and staff warmly and professionally, ensuring a positive first impression
  • Manage multi-line phone systems, directing calls efficiently and courteously using proper phone etiquette
  • Handle front desk duties including scheduling appointments, managing calendars
  • Perform data entry, filing, and maintain accurate records using Microsoft Office, Google Workspace, and other office software
  • Support office management tasks such as supply inventory, document proofreading, and general clerical duties
  • Assist with customer support by addressing inquiries promptly and professionally via phone or email
  • Maintain a clean and organized reception area to promote a welcoming environment
