The role of Front Desk Agent at Perspective Hospitality is an essential position responsible for being the first point of contact for guests checking into and out of the hotel. This role requires a friendly, professional individual proficient in guest registration, managing reservations, and handling inquiries with efficiency and courtesy. Full-time and part-time positions are available, offering flexible schedules that include morning, mid-evening, and evening shifts with varying days off to accommodate diverse lifestyles. Front Desk Agents are expected to master the hotel's front desk computer operations and procedures, including handling walk-in guests, stay-overs, room charges, and managing room keys responsibly. They must be knowledgeable about the hotel's facilities, local attractions, and surrounding areas to provide guests with valuable recommendations. The ability to process reservations, apply room rates and packages correctly, and handle group arrivals is paramount. Agents are also charged with maintaining accurate financial records, including balancing the cash drawer and submitting discrepancies to management for resolution.

Beyond operational duties, Front Desk Agents embody the hospitality brand by welcoming returning guests warmly and ensuring no guest leaves the hotel with an outstanding balance. They communicate regularly with housekeeping and other departments to ensure seamless guest experiences. Safety and emergency procedure knowledge is critical, as is participation in regular front desk meetings and key inventories. The position also involves managing the business center’s telephone, mail, and messaging systems and completing feedback forms to capture guests' comments and concerns effectively.

Prospective candidates should have a high school diploma or GED equivalent and prior experience in front desk, reservations, concierge, bell desk, or night audit roles. A working knowledge of front office operations and strong interpersonal skills are essential for success. Job Duties

  • Possess a thorough knowledge of check-in and check-out of guests
  • be completely familiar with all front desk computer operations and procedures for arrivals and departures
  • maintain control of all room keys and departmental keys and ensure sign out procedures are followed
  • handle walk-ins, stay-over and room charges
  • post charges to guests, master bills, and other applicable accounts
  • handle safe keys in accordance with property's procedure
  • know room and rate policies and adjust packages rates for fewer or additional night stay
  • review reservations and future availability
  • have knowledge of room rates, packages and discounts available
  • handle group arrivals and perform required check-in and check-out tasks
  • ensure there are no check-outs with balances due
  • familiarize guests with hotel facilities
  • read and initial the logbook at the beginning of shifts and read current memos
  • manage cash drawer and report discrepancies
  • communicate early departures, late check-outs and special requests to housekeeping
  • welcome each return guest and acknowledge them
  • adhere to all safety and emergency procedures
  • attend all front desk meetings
  • conduct weekly key inventories
  • manage telephone, mail, and message systems in accordance with business center
  • maintain knowledge of all forms and vouchers used
  • consistently fill out feedback forms for guests' comments and complaints
  • keep supervisors informed of any hotel or front desk concerns
  • understand operations of other front office departments and departmental functions
  • perform other tasks as defined by front desk supervisor
