Job Requirements

  • High school diploma or equivalent
  • previous experience in administrative or receptionist roles preferred
  • proficiency with Microsoft Office Suite including Excel and Outlook
  • ability to communicate effectively in English
  • willingness to work onsite full time
  • excellent interpersonal and communication skills
  • ability to manage multiple tasks efficiently
  • reliability and professionalism in handling sensitive information

Job Qualifications

  • Strong clerical and administrative skills
  • excellent customer service orientation
  • proficiency in Microsoft Office products, including Excel and Outlook
  • bilingual skills, particularly in Spanish, are a huge plus
  • great people skills with the ability to communicate professionally via phone and email
  • experience with Teams is a nice to have
  • must have a good attitude, be a self-starter, and a problem solver
  • assertive yet friendly personality that works well with others in a team environment

Job Duties

  • Serve visitors by greeting, welcoming, directing, and announcing them appropriately
  • Answer, screen, and forward incoming phone calls while providing basic information when needed
  • Receive and sort daily mail, shipments, and courier deliveries
  • Maintain security by following procedures and controlling access
  • Perform clerical duties such as filing, photocopying, collating, and scanning
  • Coordinate overall administrative activities for the office
  • Manage the Document Control Program
  • Maintain the program log for vendors and guests
  • Oversee office equipment maintenance, office layout, arrangement, and housekeeping of office facilities
  • Provide administrative assistance to the Human Resource, Warehouse, and other related departments
