Job Requirements

  • U.S. citizen
  • Must be able to work on-site at Columbia, MD headquarters from 8:00 am to 5:00 pm daily
  • Security clearance not required at start but candidates must be eligible for clearance
  • Minimum 3 years experience in receptionist, office administrator, personal assistant, or administrative specialist role with Bachelor's degree
  • or 1 year experience with Master's degree
  • or 7 years experience with high school diploma or equivalent
  • Experience with expense reconciliation
  • Proficiency in MS Office and Adobe Acrobat Professional
  • Experience with G-Suite applications
  • Ability to maintain organized physical and digital filing systems
  • Strong communication skills
  • Ability to handle minor physical tasks (lifting 10-20 lbs)
  • Self-motivated and able to prioritize workload independently

Job Qualifications

  • Bachelor's degree in a related field with 3 years of relevant experience
  • Master's degree with 1 year of experience
  • High school diploma or equivalent with 7 years of relevant experience
  • Proficiency in MS Office products including Word, Excel with pivot tables and charting, PowerPoint, Outlook
  • Experience with G-Suite applications such as Gmail and Google Sheets
  • Strong written and verbal communication skills
  • Excellent grammar, punctuation, spelling, and proofreading abilities
  • Ability to independently manage and prioritize diverse workload
  • Understanding of employee lifecycle and process improvement
  • Experience conducting expense reconciliation accurately
  • Strong attention to detail and flexibility
  • Self-starter with a strong work ethic

Job Duties

  • Serve as the first point of contact for visitors, clients, and employees, provide a warm and professional welcome
  • Manage visitor check-in process, ensure guests are greeted, welcomed, and directed appropriately
  • Build relationships with employees and managers, assist with new hire first-day experiences, support distributed workforce
  • Provide robust administrative support across departments, manage office supplies and inventory, coordinate mail and deliveries, maintain files and office upkeep
  • Conduct daily opening and closing procedures for corporate headquarters
  • Process meeting and PCard expenses, collect and reconcile receipts, enter data accurately, follow business rules
  • Create and submit purchase requests for indirect purchases, maintain purchase records, act as backup for expense processing
  • Perform other duties as assigned
