The Freelance Event Specialist role is a critical on-the-ground position within Visit.org's event management team. This role is perfect for an experienced professional who thrives in fast-paced, start-up environments and is passionate about social impact work. The ideal candidate will be based in Seattle, WA, and bring both corporate event expertise and an entrepreneurial mentality to the table. This role involves managing all logistics for upcoming in-person events, ensuring seamless execution, and providing leadership and problem-solving during event days.
As a Freelance Event Specialist, you will join virtual planning meetings with multiple stakeholders such as corporate partners, nonprofit organizations, and Visit.org coordinators, taking full ownership of event setup, coordination, and teardown. You'll act as Visit.org's ambassador, ensuring every guest has a memorable and engaging experience. Your responsibilities will require strong organizational skills, attention to detail, and the ability to manage dynamic group interactions effectively. From managing event check-ins to troubleshooting unforeseen challenges like missing supplies or tech issues, your role is pivotal in upholding Visit.org's standards of excellence in event delivery.
This contract role demands flexibility as events may occur during evenings or weekends, and there is a need to travel within the local Seattle region. Physical stamina is necessary to handle setup and breakdown tasks, including lifting up to 30 pounds. Job Requirements
- Fluency in English
- Based in Seattle, WA
- Availability to work on a contract, per-event basis
- Experience with corporate and social impact events
- Resourcefulness and ability to work under pressure
- Solutions-minded with quick problem-solving skills
- Strong interpersonal and customer service skills
- Ability to multitask and wear many hats
- Comfortable working with large crowds
- Physical ability to lift and carry 30 pounds
- Willingness to travel locally
- Flexibility for nights and weekends
Job Qualifications
- Experience in corporate event management
- Demonstrated ability to execute complex, large-scale and intimate events
- Strong interpersonal and customer service skills

Job Duties
- Join virtual planning meetings ahead of each event with all parties
- Take ownership and responsibility of in-person event setup, alignment, teardown, and site cleanliness
- Be the Visit.org representative and problem solver during events
- Align roles and responsibilities with onsite team members
- Manage check-in process and provide warm guest welcomes
- Troubleshoot issues such as missing supplies, late staff, and technology challenges
- Send consistent updates, photos, and videos to the Events Team throughout the event
- Pack and ship materials after event completion
