We are currently seeking a talented Freelance Event Specialist based in Denver, CO, who embodies responsibility, drive, and a passion for making a difference. This is a contract role focused on managing the logistics and execution of our upcoming in-person events held locally. The ideal candidate will bring corporate event experience, an entrepreneurial mindset, and the energy necessary to thrive in a fast-paced startup environment. As an essential member of the Visit.org team, you will act as the hands-on coordinator ensuring seamless event preparation, flawless day-of execution, and effective post-event wrap-up.

Your role will involve being the main point of contact on-site, overseeing setup, coordinating with vendors, corporate partners, and nonprofit organizations, and ensuring all event elements run smoothly. You will also manage guest check-ins, problem-solve real-time challenges, and maintain clear communications with the Visit.org Events Team throughout each engagement. A key aspect of this position is your ability to adapt quickly, handle logistics amid complexity, and provide exceptional customer service that leaves a lasting impact on attendees. This position requires flexibility in work hours, including availability during nights and weekends as needed, as well as willingness to travel within the Denver region.

Job Requirements

  • Bachelor's degree or equivalent experience preferred
  • Based in Denver, CO
  • Availability to work on a per-event contract basis with flexible hours including nights and weekends
  • Capacity to lift and carry up to 30 lbs
  • Ability to stand for extended periods
  • Willingness to travel within local regions
  • Prior corporate event experience
  • Entrepreneurial spirit and a passion for social impact
  • Detail-oriented and highly organized
  • Ability to wear multiple hats and manage varied tasks

Job Qualifications

  • Experience managing complex, large-scale corporate and intimate executive events

Job Duties

  • Coordinate all event details including logistics and staffing
  • Attend virtual planning meetings with corporate partners, nonprofit partners, and Visit.org event team
  • Manage on-site event setup, alignment with the team, teardown, and cleanup
  • Represent Visit.org as the leader and problem solver during events
  • Facilitate warm check-in and welcome experience for guests
  • Identify and troubleshoot issues such as missing supplies or technology challenges
  • Maintain clear communication with the Events Team through updates, photos, and videos
  • Pack and ship materials back to the distribution center post-event
