Job Requirements

  • Based in Hoffman Estates, IL
  • Schedule flexibility with availability on a per-event contract basis
  • Able to lift, slide, and carry up to 30 lbs
  • Able to stand for extended periods
  • Willingness to travel locally
  • Availability to work flexible hours including nights and weekends
  • Strong communication skills in English
  • Experience in complex and executive-level events
  • Ability to problem-solve and handle pressure
  • Organized and detail-oriented
  • Strong customer service skills
  • Comfortable working with large crowds

Job Qualifications

  • Fluency in English and strong communication skills
  • Experience managing both large-scale complex events and smaller executive-level events
  • Proven ability to execute high-quality events with continuous improvement
  • Resourceful and solutions-minded with the ability to stay composed under pressure
  • Self-starter with strong organization and detail orientation
  • Strong interpersonal and customer service skills
  • Experience with group facilitation and managing group dynamics
  • Flexible availability including nights and weekends
  • Willingness to travel within local regions
  • Comfort interacting with large crowds
  • Ability to multitask and wear many hats as needed

Job Duties

  • Coordinate with corporate partners, nonprofit partners, and Visit.org teams through virtual planning meetings
  • Take ownership of day-of event operations including setup, alignment with onsite teams, teardown, and cleanup
  • Manage check-in process and provide a welcoming experience for guests
  • Problem-solve logistical issues such as missing supplies, staff tardiness, and technology challenges
  • Serve as the Visit.org representative and leader onsite, aligning responsibilities with event hosts, venues, and staff
  • Communicate consistent updates including photos and videos to the Events Team throughout the event
  • Repackage and ship all event materials back to the distribution center post-event
