Job Description

The City of Saint Charles, known for its rich history and vibrant community, is seeking a dedicated Foundry Art Centre Special Event Assistant to join its Convention and Visitors Bureau department. This part-time, non-exempt role offers an hourly pay range of $20.00 to $25.00 and plays a crucial role in supporting the diverse array of special events held at the Foundry Art Centre. The Center is a cultural hub that hosts a variety of events including art exhibitions, performances, weddings, and rentals, attracting visitors and locals alike. As an integral part of the City’s event coordination team, the Special Event Assistant will work closely with the Foundry team to ensure seamless event execution and exceptional guest experiences.

The position primarily involves assisting with the planning and logistics of special events, including coordination of venue setup, entertainment, signage, decorations, and detailed event management. As a point of contact for clients, vendors, caterers, and event planners, the assistant will facilitate communication and maintain strong professional relationships to foster a collaborative and welcoming environment. Excellent organizational skills and attention to detail are critical to accurately manage event details and help build ongoing partnerships with catering services and event companies. The role also includes maintaining the Foundry bar inventory and assisting with the physical setup and breakdown of events, which requires a readiness to lift tables and chairs and work in a large venue.

Job Requirements

  • Experience in special event management sales or a related field
  • Valid Missouri driver's license with acceptable driving record or any equivalent combination of experience and training
  • Flexibility of schedule willingness to work weekends evenings special events long hours and fill in when necessary
  • Ability to lift up to 50 pounds

Job Qualifications

Job Duties

  • Assist in planning Foundry events including venue entertainment signage decoration event details and logistics
  • Interact and serve as point of contact for clients caterers wedding/event planners vendors and guests to ensure excellent and high-quality guest experiences
  • Maintain a welcoming environment and demeanor while in person on the phone or via email
  • Ensure that all event details are properly and accurately recorded
  • Help maintain relationships with preferred caterers and potential catering partners
  • Help create partnerships with event companies and industry publications
  • Responsible for the Foundry bar inventory and ordering
  • Assist in set-up and breakdown of events and rentals moving chairs tables and clean-up
  • Work on projects with co-workers and assist others as needed
  • Additional duties as assigned
