As an Event Coordinator, you will play a critical role in the successful planning, organization, and delivery of multiple event types. You will be responsible for managing event logistics such as vendor selection, catering, audio/visual setup, transportation, and accommodations. The role involves close coordination with vendors, suppliers, and contractors, guaranteeing services are delivered on time and meet the foundation's specific requirements. Your duties will range from conceptualizing events and setting goals, timelines, and budgets to overseeing on-site event activities. Serving as the primary point of contact during events, you will ensure smooth setup, execution, and breakdown operations while partnering with leadership team members.
This position requires strong project management skills to prioritize tasks, meet deadlines, and adapt swiftly to changing circumstances. Effective communication and interpersonal skills are essential for building relationships and collaborating with a wide array of stakeholders, including volunteers, sponsors, and partners. Additionally, you will be responsible for managing event registrations and analyzing event outcomes to provide detailed reports with recommendations designed to improve future events' success and return on investment. The role also involves handling challenges efficiently as they arise, conducting follow-ups, and ensuring all participant communications are timely and professional.
The Event Coordinator will work predominantly Tuesday to Friday from 8:30 am to 5:00 pm, with mandatory Saturday shifts from June through September, and occasional evenings or weekends as the event schedule demands. The position is well-suited for proactive individuals who thrive in a fast-paced, team-oriented environment, and who have experience with event management software, Microsoft Excel, and CRM databases. The ideal candidate will preferably hold a Bachelor’s degree in Event Management, Hospitality, Marketing, or a closely related field with two to four years of event planning experience, especially with outdoor venues. Proficiency in English, both written and verbal, is preferred to facilitate effective communications with associates and leadership. Job Qualifications
- Bachelor's degree in Event Management Hospitality Marketing or a related field preferred
- Two to four years event planning and management experience with outdoor venue experience preferred
- Proficiency in event management software and tools such as event registration platforms project management systems Microsoft Suite Excel proficiency and CRM database
- Proficiency in English written and verbal to effectively communicate with associates and leadership preferred
- Strong project management skills and excellent communication abilities
Job Duties
- Assist planning and executing events from concepts to completion including setting goals timelines and budgets
- Help execute event concepts themes and schedules based on foundation needs
- Coordinate event logistics such as vendor selection catering audio/visual setup transportation and accommodations
- Coordinate and act as liaison with vendors suppliers and contractors to ensure all services are delivered on time and to foundation specifications
- Source and contact venues caterers entertainment and other necessary event services
- Distribute collateral materials to event attendees and participants
- Serve as primary point of contact on-site during events overseeing setup execution and breakdown in partnership with Pillar Lead
