Job Requirements

  • High school diploma or equivalent
  • Minimum 2 years of experience in facility coordination or related role
  • Proficiency with facility management software including FAMIS 360, ServiceNow, WMA, and Yardi
  • Strong communication skills
  • Ability to handle multiple priorities and work collaboratively
  • Knowledge of vendor management and procurement processes
  • Familiarity with health, safety, and emergency protocols
  • Ability to provide technical troubleshooting support
  • Must be able to support event planning and conference room coordination
  • Willingness to work full time and provide support during emergencies or PTO

Job Qualifications

  • Knowledge of building systems including HVAC, lighting, and plumbing
  • Proficiency with facility management software such as FAMIS 360, ServiceNow, Workday Management Application, and Yardi
  • Strong communication and interpersonal skills
  • Ability to manage multiple tasks and coordinate with diverse stakeholder groups
  • Experience in vendor management and procurement support
  • Basic understanding of health, safety, and emergency response protocols
  • Ability to provide technical support and training to colleagues
  • Strong organizational and problem-solving skills

Job Duties

  • Respond to all facility inquiries and complaints, assess problems, and take necessary corrective actions
  • Remain knowledgeable about operational aspects of building systems including HVAC, lighting, plumbing
  • Create and manage purchase orders in Yardi for vendors as needed
  • Monitor the 360 Facility request system, track work order progress, and coordinate updates or changes to requests
  • Serve as an additional resource for tenant communications regarding parking, maintenance, and other tenant-related needs
  • Oversee vendor management for contracted services such as food services and document destruction
  • Coordinate with external contractors and service providers for maintenance and repairs of facility equipment
  • Assist with planning and coordinating large events on campus, including logistics such as catering, AV setup, and room layouts
  • Manage conference room bookings and coordinate equipment and furniture arrangements
  • Provide backup support for large events across campuses
  • Assist in tracking and organizing all furniture, fixtures, and equipment across campus
  • Maintain the Workday Management Application database, updating employee neighborhood locations, equipment inventories, and locker/credenza assignments
  • Assist with moving and tracking furniture and assets as needed
  • Support technical troubleshooting related to workstations and equipment
  • Administer and support systems such as FAMIS 360, ServiceNow, and WMA, providing troubleshooting assistance
  • Train colleagues on using facility management software and maintain an updated list of active users and vendors
  • Submit and balance requisitions for procurement needs
  • Assist in submitting charges for lease administration, parking, and catering chargebacks
  • Research vendor invoices and payments collaborating with finance and management teams to resolve discrepancies
  • Act as a key member of the Safety Team ensuring compliance with safety policies and emergency response protocols
  • Support emergency situations including tenant needs and respond to customer concerns
  • Coordinate with security teams for badge requests, terminations, and reactivations for tenants
  • Provide backup support for campuses during PTO or emergencies
  • Assist in project management tasks related to product development, program integrations, testing, and system updates
  • Support special projects such as equipment refreshes, furniture repairs, or space reconfigurations as assigned
