This non-exempt role is crucial in coordinating the use of campus facilities for various university events, ensuring optimal space management and effective event preparation. The planner and coordinator will be responsible for scheduling and managing the use of spaces through systems such as the Facilities Reservation Calendar, eSpace, and Workorder requests to prevent scheduling conflicts. They will develop plans to maximize the utilization of campus facilities, analyze facility usage data, and provide recommendations for space allocation to the university administration. This position also involves significant hands-on work, including organizing, setting up, breaking down, and returning event equipment such as tents, tables, chairs, audio-visual components, and signage. Collaboration with maintenance teams, managing manpower and equipment support, and overseeing vehicle maintenance for transportation related to events are important aspects of the role. Candidates should be prepared to handle physical tasks like lifting heavy objects, operating forklifts, assembling stages, climbing ladders, and assisting with installations related to campus IT systems. The role demands exceptional organizational abilities, excellent communication skills, and the capacity to handle multiple projects simultaneously while meeting deadlines. Job Requirements

- Frequently tasked with operating a motor vehicle or heavy equipment
- Occasionally exposed to low and high temperatures as well as outdoor elements such as precipitation and wind
- Occasionally exposed to noisy environments
Job Qualifications
- High school diploma or its equivalent
- Minimum of 3 or more years of related experience
- Excellent communication and interpersonal skills, including writing and speaking
- Ability to manage multiple projects concurrently
- Must be team-oriented and able to work collaboratively to achieve team goals
- Detail-oriented
- Experience with Microsoft Office programs
- Experience driving and using a forklift
- Experience assembling stages including platforms, steps, and safety rails (e.g. connecting and locking panels, leveling stage)
Job Duties
- Work with events team/requestors to identify needed resources such as tables, chairs, sound equipment, electrical, custodial, trash, landscaping, and manpower support requirements
- Coordinate and assist with organizing, setting up, breaking down, and returning proper storage event equipment (i.e., tents, tables, chairs, signs, banners, audio-visual equipment, etc.)
- Manage the Facilities Reservation Calendar, eSpace, and Workorder requests to ensure there aren’t any conflicts in scheduling
- Utilize organizational skills to troubleshoot and solve problems while operating on a schedule, managing multiple events and projects simultaneously, meeting deadlines, and achieving goals
- Develop plans to maximize facility use and make space allocation recommendations to the administration
- Conduct facility usage studies and compile usage data for management to review
- Collaborate with the maintenance team on the coordination of events and equipment
- Ensure that proper staffing is available, approval is obtained if it is deemed that overtime is required, and schedule appropriate overtime staffing
- Manage the maintenance program for all facilities vehicles, and transportation equipment
- Coordinate all moves of furniture and equipment
- Help with the construction of fencing, concrete walkways, the erection of canopies, stages, and platforms
- Ability to scale ladders to help with pulling wires and cabling, installing ports, and other duties revolving around the campus IT system
- Also, assist with cleaning gutters and removing debris from roofs
- Complete other duties as assigned
