Job Description

EDJ Associates, Inc. is a dynamic professional services firm specializing in supporting federal agencies with a wide range of event management and operational services. Our team is committed to delivering quality, efficiency, and expert solutions to complex federal program needs. We work closely with clients such as the National Science Foundation (NSF) to provide seamless support for legislative and public affairs initiatives, ensuring impactful communication and engagement with various stakeholders. As a hybrid employer, EDJ Associates offers a blend of on-site and remote work, with a primary focus on supporting events at NSF Headquarters and other key locations. This contingent hire position is dependent on the award of a contract/task order from NSF, demonstrating our commitment to sustained federal partnership and service excellence.

The Program Manager - Events role within the NSF Office of Legislative and Public Affairs (OLPA) is key to the successful planning and delivery of high-profile NSF meetings, conferences, exhibits, and outreach events. This position requires a seasoned professional who thrives in managing the logistics and execution of complex events across multiple platforms, including in-person, hybrid, and virtual formats. The individual will coordinate venues, vendors, shipping logistics, setup, and breakdown while maintaining strict adherence to NSF branding guidelines and Section 508 accessibility standards. Critical to the role is the ability to work closely with internal teams and external partners to ensure all aspects of event production are meticulously planned and executed.

Beyond planning, the Program Manager will support exhibit design and deployment, manage inventories for outreach materials, and coordinate speaker engagements including moderator and RSVP management. This requires strong organizational skills, expert knowledge in federal travel regulations for travel coordination, and the agility to provide rapid on-site support and issue resolution during event execution. The physical demands of the role include the ability to handle and move heavy equipment, reflecting the hands-on nature of the position.

Ideal candidates will have over eight years of extensive experience managing large-scale federal or public-sector events, demonstrating proficiency with Microsoft Office Suite and event management platforms like Eventbrite. Strong communication and problem-solving skills are essential, as is the capacity to manage multiple high-visibility events concurrently. The position prefers candidates with federal agency support history or large public-sector event experience, emphasizing the importance of understanding the unique requirements and protocols of government client engagements.

This role offers an opportunity to be at the heart of federal event management and strategic outreach efforts for a prestigious federal agency. Join EDJ Associates and contribute to enhancing the National Science Foundation's legislative and public affairs event footprint by delivering professional, innovative, and compliance-driven event management services. Employment is contingent upon receiving the NSF contract award, reflecting the critical partnership between EDJ Associates and NSF. As a hybrid role, it offers a blend of remote and significant on-site work, fostering a collaborative and flexible working environment.
