Job Requirements

  • High school diploma or GED
  • One year receptionist experience in a professional office setting
  • Previous customer service experience preferred
  • Valid Class C (Class 1) Pennsylvania Motor Vehicle Operator's License at the time of application and throughout employment
  • Permanent residency within Allegheny, Armstrong, Beaver, Butler, Fayette, Greene, Lawrence, Indiana, Washington, or Westmoreland counties in Pennsylvania
  • Ability to sit, stand, walk, stoop, kneel, crouch, or crawl
  • Occasionally lift or move up to 25 pounds
  • Availability to work beyond normal hours and respond during emergency situations
  • Successful completion of post-offer medical examination
  • Passing post-offer drug screening and compliance with ongoing drug and alcohol testing
  • Successful completion of thorough background investigation including criminal history and employment verification

Job Qualifications

  • High school diploma or GED
  • One year of receptionist experience in a professional office setting
  • Previous customer service experience preferred
  • Experience with MS Office 365 and common office equipment
  • Ability to communicate effectively both orally and in writing
  • Good organizational skills, detail oriented, and problem-solving ability
  • Sensitivity to confidential matters
  • Ability to work well with all levels of internal management, staff, board members, public officials, vendors, and customers of all levels

Job Duties

  • Act as the first point of contact for greeting customers, clients, and visitors with a positive, helpful attitude
  • Assist customers with basic customer service information and provide resources for additional assistance
  • Maintain workplace security by following procedures, controlling access, monitoring the logbook, and issuing visitor badges
  • Manage sorting and delivery of mail, and receive and sign for courier deliveries
  • Maintain lobby area and notify staff of incoming packages
  • Answer, forward, and screen phone calls to appropriate departments
  • Schedule conference calls and meetings
  • Perform a variety of clerical and administrative tasks such as copying, faxing, and taking notes
  • Collect and arrange information needed for events, personnel, and external customers
  • Prepare meeting and training rooms
  • Perform basic filing and recordkeeping
  • Provide administrative support to the Executive Leadership Team as assigned
  • Assist Executive Office with Board Meetings or other Executive Meetings as needed
  • Maintain positive and productive working relationships with internal and external customers
  • Perform other related tasks as assigned or required
