The Executive Meeting Manager role at Hyatt Place St. Petersburg is pivotal in driving the success of the hotel's group and catering sales programs. This full-time position focuses on generating revenue through diverse lead channels by effectively managing group sales contracts, coordinating guest room blocks, and overseeing the execution of meetings and social events to the highest levels of client satisfaction. This position requires flexibility to accommodate client needs during varied hours, including weekends, evenings, and holidays. Job Requirements

  • High school diploma or equivalent
  • Previous experience in hospitality sales or event coordination
  • Ability to work flexible schedules including weekends, evenings, and holidays
  • Ability to lift up to 20 pounds and stand or walk for extended periods
  • Strong customer service orientation
  • Proficiency with Microsoft Office and property management software
  • Ability to communicate effectively with clients, vendors, and team members

Job Qualifications

  • Bachelor's degree in hospitality management, business administration, or related field preferred
  • Proven experience in group sales or event management within the hotel industry
  • Strong knowledge of sales and marketing principles specific to the hospitality sector
  • Proficiency in Microsoft Office and property management systems
  • Excellent verbal and written communication skills in English
  • Ability to prepare statistical reports and presentations

  • Knowledge of banquet operations and food and beverage services

Job Duties

  • Responsible for business development - actively sell all segments as directed by the Director of Sales & Marketing, ensuring monthly, quarterly, and annual goals are met
  • Prepare and send requested collateral materials to designated clients or guests including catering menus, brochures, space diagrams, formal proposals, presentations
  • Review sales contracts and key details such as room blocks, cut-off date, special concessions, cancellation, and attrition clauses and validate with clients
  • Be fully knowledgeable of competitive markets outside the area
  • Coordinate all logistics of meetings including food and beverage requirements, audiovisual needs, room type allocation, rooming list, amenities, function room set up, group transportation, special meal requests, arrival/departure manifests, bag pulls, luggage storage, complimentary rooms, billing instructions, authorized signatures, room deliveries, telephone and internet requirements, box storage and delivery, power requirements, key requirements, expected food and beverage outlet usage
  • Monitor and enforce deadlines related to group rooms cut-off, BEO requirements, and function guarantees
  • Create and distribute group resumes and communicate changes to appropriate departments and managers
  • Be fully knowledgeable of hotel capabilities and limitations impacting sales strategies
  • Upsell to improve revenue generation on property
