The Executive Meeting Manager at Hyatt Regency Lisle plays a pivotal role in this renowned team, focusing on generating business, nurturing client relationships, and ensuring flawless execution of events. This role demands a professional who excels at sales and client development, adept at maintaining strong connections with existing customers while actively pursuing new business leads through various channels. The Executive Meeting Manager is responsible for managing detailed account information, conducting property tours, facilitating competitive market analysis, and engaging with the community to promote the hotel’s offerings.

In addition to sales, this position requires hands-on event planning and execution. The Executive Meeting Manager collaborates closely with clients to design tailored event programs, prepares meticulous Banquet Event Orders, and partners with operational teams to guarantee event success. Presence during events is essential to welcome group contacts and ensure client satisfaction throughout.

Performance management and reporting are integral to this role, with expectations to meet or exceed budgeted goals for food, beverage, room rental, and audiovisual revenue. Regular forecasting and detailed reporting are required, alongside proactive sales calls to maintain and expand customer relationships. Flexibility is key, as responsibilities may evolve in alignment with the hotel’s needs.

Candidates must have strong communication capabilities, both written and verbal, and demonstrate the ability to work independently and lead within team settings. A basic proficiency in Microsoft Office, CRM systems, and email platforms is necessary. Deep knowledge of hotel operations, local market dynamics, and competitive factors is essential, complemented by a strong commitment to exceptional guest satisfaction. The ability to make effective decisions within general policy frameworks and minimal supervision is also required.

Vinayaka Hospitality operates around the clock, with this role typically scheduled Monday through Friday, though weekend or holiday shifts may occasionally be needed based on business demands. The workweek hours are subject to variability, adapting to operational requirements and client needs, underscoring the dynamic nature of this position.

Job Duties

  • Maintain strong relationships with existing customers
  • actively develop new business through phone calls, emails, networking, and local outside sales efforts
  • manage account details including solicitation, contracting, and closing documentation
  • conduct property tours and prepare materials for site inspections
  • facilitate competitive set tours and build professional relationships to encourage referrals
  • attend industry-related meetings, networking events, and community functions to promote the hotel
  • respond to all sales leads within 24 hours
  • work closely with clients to identify needs and design tailored event programs
  • prepare Banquet Event Orders (BEOs)
  • partner with Banquet Supervisor and operational teams to ensure flawless event execution
  • welcome group contacts upon arrival and remain available during events to ensure satisfaction
  • meet or exceed budgeted goals for food, beverage, room rental, and audio/visual revenue
  • complete required monthly forecasting and reporting accurately and on time
  • manage workload effectively with strong attention to detail
  • conduct weekly sales calls to maintain relationships and solicit new opportunities
  • adapt responsibilities based on hotel needs
