The Executive Health Concierge Care department located in Kenilworth is seeking a dedicated Patient Advocate to join their team on a full-time basis, working 40 hours per week with a variable shift schedule. This role focuses on providing exceptional customer service and administrative support to ensure a seamless and positive experience for patients utilizing the Executive Concierge Care services. The position involves coordinating patient flow and scheduling for executive physicals and a variety of concierge services catered both to self-referred individuals and corporate patients. Compensation ranges from $21.85 to $32.80 per hour, based on experience and qualifications, which is highly competitive for administrative roles within the healthcare sector.

The Patient Advocate will handle multiple administrative and operational responsibilities, including answering multi-line phones, facilitating communication between patients and healthcare providers, performing patient check-in duties, managing documentation and medical records, coordinating referrals, and maintaining robust tracking systems to support clinical operations. The role requires proficient use of various digital platforms, such as EPIC, Rhinogram, REDCap, HINT, Caregility, and ExecutiveConciergeCare Box folders. Exceptional organizational skills and meticulous attention to detail are vital, as the incumbent will manage multiple spreadsheets and databases to ensure efficient and accurate patient care continuity. The environment is fast-paced and demands flexibility, professionalism, and the ability to multitask effectively, with occasional physical requirements including lifting supplies and extensive computer use.

Job Requirements

  • High school diploma or GED preferred
  • Minimum 1 year medical receptionist experience preferred
  • Experience with medical terminology
  • Proficient typing and accurate spelling
  • Good communication skills

  • Ability to handle fast-paced office environment
  • Physical capability to lift supplies up to 50 pounds occasionally

Job Qualifications

Job Duties

  • Answers multi-line telephone, provides routine information to callers and patients, takes messages and places pages
  • Contacts patients by telephone to confirm scheduling information and communicates patient schedules and changes to the appropriate staff
  • Performs patient check-in and initial patient registration tasks and ensures accurate completion of forms
  • Collects patients' post charges and payments, completes patient receipts in a timely fashion
  • Orders, monitors and stocks all paper supplies including retail items
  • Processes incoming and outgoing mail and supply deliveries
  • Files and maintains an orderly medical records system
  • Sends Executive Physical intake forms to staff via email with finalized appointment dates
  • Monitors EPIC In-Basket queues daily
  • Conducts scheduling calls to collect three preferred dates for labs, telephone consultations, and Executive Exams
  • Manages multiple spreadsheets and platforms, including Rhinogram, EPIC, REDCap, HINT, Caregility, and ExecutiveConciergeCare Box folders
  • Maintains accurate, organized tracking systems to support clinical operations and patient experience
