Job Description
We are a professional business seeking a detail-driven and dependable Administrative Assistant to join our team and support the company president. Our organization prides itself on running efficient daily operations, fostering a collaborative work environment, and delivering exceptional service to our clients and partners. We are an established company dedicated to maintaining high levels of professionalism and operational excellence, and we recognize the vital role that the right administrative staff play in achieving these goals. This position is full-time, based onsite, and offers a competitive salary ranging from $40,000 to $80,000 annually, depending on experience and qualifications.
As the Administrative Assistant supporting the president, you will be a key contributor to ensuring business operations run smoothly and efficiently. This role involves a wide array of administrative duties, which require excellent organizational skills, attention to detail, proactive problem-solving, and the ability to manage multiple responsibilities simultaneously. You will manage the president's calendar, appointments, and scheduling priorities, coordinating meetings and internal communications to keep all projects and tasks on track.
Your role will involve managing communication channels on behalf of the leadership, including emails and correspondence, ensuring timely follow-up and coordination. A significant element of the position involves tracking client activities, maintaining detailed Excel reports, and preparing monthly customer reports that provide critical updates to stakeholders. You will also be responsible for liaising with vendors, ensuring reports are submitted on time, and assisting in uploading important documents into our database to maintain accurate records.
In addition to these core administrative tasks, you will occasionally organize travel plans, accommodations, and itineraries for the president. Your research and documentation skills will support the preparation of summaries, reports, and presentation materials, contributing to business strategy and communication efforts. The ability to manage confidential information with professionalism and discretion is essential in this role, as is a commitment to providing exceptional customer service.
The ideal candidate for this position is not only organized and detail-oriented but also resourceful, proactive, and able to work independently in a fast-paced environment. We seek someone who anticipates needs, follows through on assignments thoroughly, and prioritizes office workflow to help the team maintain productivity throughout the day. Knowledge of the insurance or reinsurance industry is a plus but not mandatory. Qualifications and relevant experience in administrative roles within professional services or similar sectors will be highly valued.
This is a fantastic opportunity for an individual looking to grow their career as an Administrative Assistant within a supportive and dynamic organization. We emphasize a flexible, professional, and resourceful approach to work, and we value integrity, confidentiality, and attitude as much as technical skills and experience. Join us in a pivotal role where your contributions directly impact the smooth operation and success of our leadership and the organization as a whole.
