Job Requirements

  • Minimum of three years experience as an executive assistant supporting C-level executives
  • Advanced proficiency in Microsoft Office suite
  • Exceptional verbal and written communication skills
  • Ability to work a flexible schedule as needed
  • Strong attention to detail and organizational skills
  • Integrity discretion and a commitment to professional excellence
  • Commissioned as a notary is a plus

Job Duties

  • Oversee the CEO's calendar including scheduling and coordinating meetings events and personal appointments
  • Arrange on-site meetings prepare agendas distribute required documents and coordinate follow-up actions
  • Manage daily email and phone communications sort messages respond as appropriate and flag critical issues for the CEO's attention
  • Coordinate visits and thank-you notes to celebrate and recognize employees
  • Arrange all aspects of travel including accommodations transportation and meals
  • Collaborate with directors to prepare materials for quarterly Board meetings maintain accurate meeting notes and coordinate off-cycle meetings as needed
  • Draft presentations and public remarks to be delivered by the CEO ensuring clarity and alignment with organizational messaging
  • Manage the CEO's expense reports track dues and subscriptions and coordinate with the CFO to distribute financial documents
  • Assist in planning company-wide meetings industry gatherings and events hosted by the CEO
  • Conduct research analyze information and prepare concise summaries for the CEO
  • Assist with ad hoc projects as assigned
  • Continuously seek ways to improve the efficiency and effectiveness of the CEO's administrative processes
