The role of Executive Assistant II within the Division of Finance & Administration at Tarleton State University is a pivotal staff position based on the Stephenville campus. This role involves providing comprehensive administrative and operational support to the division, specifically aiding the Executive Vice President and supporting smooth office functioning. Responsibilities include processing human resources transactions such as onboarding, offboarding, and data maintenance in Workday; managing purchasing, requisitions, purchase orders, and invoice processing in TexanBuy; tracking inventory and coordinating property transfers in Canopy; arranging travel and preparing expense reports in Emburse; and overseeing calendar and event management.
The Executive Assistant II serves as an essential liaison between internal departments and external stakeholders, requiring exceptional professionalism, discretion, and organizational skills. This position plays a critical role in sustaining the daily administrative operations and advancing the division's strategic priorities through effective communication and meticulous attention to detail. Additional duties include managing correspondence, maintaining office records, supervising student employees, and ensuring a welcoming front office environment. This full-time, on-site position operates typically Monday through Friday, 8 AM to 5 PM, and also includes the responsibility of serving as a Campus Security Authority (CSA). The salary is commensurate with experience, with a base annual range of $49,000 to $68,330.50, negotiable based on qualifications and funding availability.

- Provide administrative support including HR transactions in Workday such as onboarding, offboarding, and data maintenance
- complete purchasing tasks for requisitions, purchase orders, non-POs, and invoices in TexanBuy
- maintain inventory and coordinate property transfers using Canopy
- manage calendars, appointments, and travel arrangements including expense card reports in Emburse
- plan and coordinate events for the division
- draft and manage correspondence and communication
- schedule appointments and manage executive calendars
- prepare travel arrangements, itineraries, and process travel reimbursements
- compile reports and maintain records and documents
- coordinate special events and support planning activities
- serve as receptionist greeting visitors and answering phones for the Division of Finance & Administration
- maintain supply inventory and oversee equipment service agreements
- manage record retention for office documents
- supervise Office of Finance & Administration student employees
- provide assistance to various departments within the division as needed
