The Corporate Communications team at Ventas plays a pivotal role in shaping how the company is represented to employees, investors, and the broader market. This team connects company strategy with messaging through a wide range of external and internal communications, including live events, activations, branding initiatives, and media engagement. Their work is essential to enhancing the company’s reputation by ensuring that messages are clear, compelling, and consistent across all audiences.
The Executive Assistant & Events Lead role is a vital position that bridges Corporate Communications and the Office of the CEO. This dual-focused role provides high-touch executive support while leading the planning and flawless execution of impactful corporate and employee events. The Executive Assistant & Events Lead ensures seamless execution of communications priorities, CEO-related engagements, Board of Directors meetings, and other high-visibility events that uphold Ventas’ brand, culture, and leadership standards. Reporting to the Vice President of Corporate Communications with a dotted line to the Office of the CEO, this role operates across two collaborative teams, facilitating day-to-day operations and enhancing executive-level engagement.
Key responsibilities include providing executive support such as calendar management, scheduling, tracking initiatives, and facilitating coordination within the Corporate Communications function. Additionally, the role supports the CEO’s office in managing calendars, meeting logistics, materials preparation, and day-of execution for key engagements. The position takes ownership of the end-to-end strategy and logistics of corporate and employee events, including budgeting, vendor management, invitation processes, guest tracking, and on-site execution. Collaboration with various internal stakeholders—including HR, Legal, IT, and other executive assistants—is essential to ensure alignment and successful event delivery.
A critical aspect of this role is maintaining high-quality communication materials related to events and executive engagements, including presentations, agendas, and briefing documents. The Executive Assistant & Events Lead is also a trusted ambassador of the Ventas brand and culture, ensuring professionalism and attention to detail in all interactions and communications. This role continuously seeks opportunities to improve processes and execution, bringing a proactive, creative, and solutions-oriented mindset to both executive support and event leadership.
The estimated base salary range for this position is $90,000 to $135,000 per year, reflective of experience and qualifications. The role offers a hybrid work environment with three days in office and flexibility for remote work. Job Requirements
- Bachelor's degree in business, marketing or related field
- Minimum 5 years of executive support or corporate event experience
- Residency in or willingness to relocate to Chicago, IL
- Ability to work in a hybrid setting with 3 days in office
- Experience supporting senior executives and managing high-visibility events
- Proficient with Microsoft Outlook, PowerPoint and event software
- Strong communication and organizational skills
- Legal authorization to work in the US without sponsorship
Job Qualifications
- Bachelor's degree required, ideally in business, marketing, or a related field
- 5+ years of experience in executive support, corporate events, communications, or related roles, ideally within professional services or financial services
- Must be located in the Chicago, IL area or willing to relocate
- Able to work in a hybrid model with 3 days in office
- Demonstrated experience supporting senior executives and leading complex, high-visibility events
- Proven ability to operate as a self-starter in fast-paced environments
- Strong proficiency with Microsoft Outlook, PowerPoint and event communication tools
- Exceptional organizational, communication, and interpersonal skills
- Legally authorized to work in the United States without sponsorship
Job Duties
- Provide executive assistant support to Corporate Communications leadership, including calendar management, tracking initiatives, and coordination
- Provide selective support to the Office of the CEO, including calendar coordination and meeting logistics
- Serve as a key partner to support CEO-related events such as Board meetings and leadership offsites
- Lead the planning and execution of corporate and employee events including celebrations and philanthropy events
- Own end-to-end event strategy and logistics, including budgeting, vendor coordination, invitations, guest tracking, run-of-show development, on-site execution, and follow-up
- Partner closely with internal stakeholders such as HR, Legal, IT to ensure alignment and flawless execution
- Develop and maintain high-quality communications materials related to events and executive engagements
