The department consistently maintains seamless flight operations that meet both routine and emergency requirements, supporting multiple aircraft as well as senior leadership and shareholders. This Aviation Department operates with an emphasis on discretion, adaptability, and precision, prioritizing the safety, financial accuracy, and operational efficiency of their fleet.
The Executive Assistant - Aircraft Fleet Services plays an indispensable role in this aviation environment. This position is designed to provide comprehensive administrative and operational support tailored to the unique and fast-paced needs of an executive flight operation. As the liaison between flight department staff and multiple operational channels, the Executive Assistant ensures that every logistical detail—from aircraft scheduling, ground support services, and provisioning to financial processing—is executed flawlessly. This role demands a strong presence around the clock, often responding to time-sensitive and last-minute operational changes including after-hours, weekends, holidays, and international flight schedules.
In addition to the operational demands, this role requires careful management of financial records, including processing aviation-related expenses, monitoring credit card activity, and managing co-tenancy billing related to hangar use. The Executive Assistant shoulders responsibility for maintaining accurate and timely records within aviation tracking systems such as BART, enabling comprehensive reporting and operational transparency.
Passenger comfort and service excellence are other significant components of the role, with duties spanning the coordination of ground transportation and catering services to the upkeep of passenger preference profiles. These responsibilities extend to hands-on support with cabin preparation, restocking, and provisioning to ensure every flight meets the high standards expected in executive aviation.
This is a hybrid remote role based in Oklahoma City, OK, requiring a candidate who is both highly organized and able to pivot fluidly between administrative duties and hands-on operational support. The position offers a competitive salary starting from $62,000 per year and entails a dynamic work schedule reflective of flight operation needs.
In summary, the Executive Assistant - Aircraft Fleet Services is a pivotal member of the flight operations team, necessary for maintaining round-the-clock readiness, operational efficiency, and exceptional service. The role provides a unique opportunity for professionals experienced in aviation support, administrative assistance, or executive operations to contribute to an elite aviation department that values precision, responsiveness, and outstanding customer care.
