Job Requirements

  • Bachelor's degree
  • Five years of experience in an administrative role in a fast-paced office environment preferred
  • Proficient in MS Office applications
  • Strong written and verbal communication skills
  • Ability to manage confidential information with discretion
  • Typing speed of minimum 55 words per minute
  • Ability to prioritize multiple tasks and meet deadlines
  • Experience with administrative software such as Adobe Acrobat, Banner, and Resource Scheduler
  • Willingness to work occasional evenings and weekends
  • Dependability and timeliness
  • Excellent organization and attention to detail
  • Ability to interact professionally with diverse stakeholders

Job Qualifications

  • Minimum five years experience in a fast-paced office environment preferred
  • Proficient with MS Office (Word, Excel, PowerPoint)
  • Skilled in document preparation and correspondence transcription
  • Strong verbal and written communication skills
  • Ability to prioritize and manage multiple tasks under tight deadlines
  • Familiarity with Adobe Acrobat, Resource Scheduler, Banner, BanWeb
  • Typing speed of at least 55 wpm
  • Good critical thinking and judgement skills
  • Ability to work independently and collaboratively in a team setting
  • Experience with confidential and sensitive information handling

Job Duties

  • Serve as the first point of contact for the President's Office and handle inquiries
  • Screen and prioritize incoming calls and visitors
  • Prepare and transcribe correspondence including letters, emails, and memorandums
  • Coordinate meetings, teleconferences, and disseminate presidential communications
  • Assist with travel arrangements and itinerary preparation for the President and Board of Trustees
  • Provide support for Board of Trustees meetings and university events including logistics and catering
  • Manage petty cash reconciliation and invoice approval
  • Serve as a backup for other administrative support tasks as assigned
  • Prepare documents and presentations using MS Office and other software
  • Maintain confidentiality and follow standard protocols in all communications
  • Provide event support including university commencement and special ceremonies
  • Manage office inventory and service requests
  • Travel with the President's Office to satellite campuses as needed
