The role of Events Specialist at Reser's Fine Foods is an essential position within the corporate team, reporting directly to the Corporate HR Manager. This exempt-level role is responsible for organizing, coordinating, and executing a variety of large-scale and boutique employee events that promote the company’s core value of being an Employer of Choice. Events may include holiday parties, summer picnics, employee appreciation gatherings, retirement celebrations, and milestone anniversary festivities. The Events Specialist works collaboratively with internal teams, manufacturing facilities, and external vendors to ensure the successful planning, budgeting, logistics, and execution of each event while adhering to company policies and programming guidelines.

This role requires a unique blend of skills including strategic planning, budget management, communication, and project coordination. In addition to event planning, the Events Specialist oversees key administrative programs such as the anniversary award program and manages the Reser’s Cares charitable initiative, which involves budget management, funding decisions, and coordination with local teams and nonprofit organizations. The job also includes responsibilities such as managing the company newsletter and distributing tickets for company-sponsored activities aimed at boosting employee recognition and engagement.

The position demands physical involvement including lifting and setup activities for events, occasional evening or weekend work, and local travel with occasional overnight stays. Job Requirements

  • High school diploma required
  • Associate degree in hospitality or related field preferred
  • 5 plus years of event planning experience
  • 3 plus years of non-profit charity donation experience
  • Knowledge of event catering functions
  • Strong verbal and written communication skills
  • Ability to manage timelines and deadlines
  • Planning and prioritization skills
  • Requires initiative and ability to be successful under limited supervision
  • Must have excellent PC skills including Microsoft Office
  • English/Spanish bilingual a plus
  • Ability to bend and lift up to 50lbs
  • Willingness to work weekends or evenings as needed
  • Local travel required with up to 10 percent overnight travel

Job Qualifications

Job Duties

  • Plans and coordinates employee events including holiday celebrations, summer picnics, employee appreciation events, retirement celebrations, and milestone anniversary celebrations
  • Collaborates with internal stakeholders to develop event budgets and manage to established budgets
  • Schedules venues, food, beverage, equipment, entertainment, and other logistical requirements including contract management
  • Works with plant locations to provide event guidelines ensuring a collaborative and consistent approach
  • Provides clear communication to promote participation in events and activities
  • Solicits support to ensure events are adequately staffed and supported
  • Ensures smooth operations on event days including set-up, tear-down, and equipment facilitation
  • Oversees and administratively manages anniversary award program (OC Tanner)
  • Manages Reser’s Cares budget with manufacturing and corporate offices, resolving discrepancies and ensuring policy compliance
  • Monitors and processes check requests for Reser’s Cares initiative, conducting due diligence on nonprofit organizations
  • Manages year-to-date Reser’s Cares spending and coordinates communication with local teams
  • Manages company newsletter by collecting content and working with vendors for bi-annual publication
  • Manages equitable distribution of tickets for company-sponsored activities
  • Provides event support for philanthropic and community events
