The role available is a Trade Show Coordinator, an essential position responsible for the comprehensive management of trade show participation and related events. This role involves close collaboration with the Event Director to understand the objectives and goals for each event, ensuring that every aspect aligns with the company’s strategic vision. The Trade Show Coordinator will register for selected trade shows, coordinate the production and logistics of booth assets, and manage vendor relationships to ensure seamless event execution. Responsibilities include overseeing the packing, shipping, and storage of booth materials, handling event budgets, and addressing any on-site challenges to maintain smooth booth operations. The position requires not only strong project management and organizational skills but also creative problem-solving and excellent communication abilities. There is a necessity for travel to trade show locations as required, enhancing the scope of hands-on involvement. This role is pivotal in making a significant impact on the company's brand presence at key industry events and contributing to the overall success of marketing initiatives. The schedule is Monday through Friday, with either a 9 AM to 5 PM or an 8 AM to 4 PM shift, combined with hybrid work flexibility, catering to a balanced professional and personal life. Job Duties
- Collaborate with the Event director to understand event objectives and goals
- register for appropriate trade shows and events selected by our industry and sales team
- coordinate the production of booth assets, including graphics, promotional materials, and giveaways created by our in-house creative team
- ensure all booth assets are packed, shipped, and stored correctly for each event
- manage all logistical aspects of trade show participation, including booth and collateral shipping, and send detailed event logistics emails to attendees
- coordinate with vendors, contractors, and venues to ensure a seamless event experience
- troubleshoot any on-site issues and oversee the smooth operation of the booth during the event, supervising labor during setup
- help manage event budgets, tracking expenses and providing regular reports to the event director
- identify cost-saving opportunities without compromising the quality of the event
