Job Requirements

  • High school diploma or equivalent
  • Minimum two years of customer support or administrative experience
  • Ability to manage multiple tasks simultaneously
  • Proficient computer skills including Microsoft Office suite
  • Excellent interpersonal and communication skills
  • Ability to maintain composure during high-stress situations
  • Willingness to learn new software
  • Availability to work Monday through Friday
  • Ability to occasionally travel up to 10 percent of the time
  • Eligibility to work in the United States
  • Successful completion of pre-employment background and verification checks

Job Qualifications

  • High school diploma or equivalent
  • Two plus years of experience in customer support or administrative assistant role
  • Working knowledge of computer databases such as CRM UX8 is helpful
  • Background in hotel reservation or front desk preferred
  • Previous customer service experience in a not-for-profit membership association is a plus
  • Excellent interpersonal skills
  • High attention to detail and accuracy
  • Ability to multitask in a fast-paced environment
  • Composed demeanor under stress
  • Proficient in Microsoft Word, Excel, and Outlook
  • Experience with CRM platforms preferred
  • Strong written and verbal communication skills

Job Duties

  • Provides efficient customer service support via web-based requests or telephone for registering for IFEBP Educational Programs
  • Thoroughly reviews all communication to ensure prompt, accurate, and comprehensive customer service
  • Collaborates to resolve issues in order processing and cash receipting
  • Understands and follows receipting processes in accordance with Accounting Department standards and SOPs
  • Assists in creation and testing of registration forms and reviews posted meeting information on the website
  • Accurately processes and manages hotel blocks, creates events in hotel reservation software, and completes post-conference reconciliation including statistical data documentation
  • Maintains excellent working relationships with internal and external individuals and vendors to ensure exceptional customer service experience
  • Cross-trained to provide backup services for alternate departments
  • Begins managing assigned meetings and timelines with assistance
  • May train or mentor junior staff members
