Job Description
This community-focused organization specializes in managing and hosting a range of events and activities designed to enrich the lifestyle of its residents and members. Recognized for its commitment to exceptional customer service and hospitality, the company operates various community venues and recreational programs that foster social interaction and engagement among residents. The organization is structured to support facility management, fitness initiatives, and homeowners association activities, ensuring a cohesive and vibrant community environment. Emphasizing continuous community involvement, the company takes pride in crafting memorable experiences through well-organized events that cater to diverse interests and age groups within the community.
The role available is a Community Event and Activities Coordinator who will play a pivotal role in maintaining the vibrant culture and operational excellence of the community’s event programming. This position involves partnering with various committees such as Facility, Fitness, and Activities to plan, manage, and adhere to an annual and homeowner events budget, complete with monthly progress updates. The coordinator will be responsible for managing rental agreements, processing deposits and fees, and ensuring all vendors comply with insurance requirements. Communication skills are essential, as the coordinator will regularly interact with club members regarding community room policies and event logistics, as well as uphold a high standard of customer service both internally and externally.
Key responsibilities include maintaining the cleanliness and readiness of community rooms before and after events, monitoring expenditures to align with budgetary constraints, and preparing detailed event profit and loss reports. This position also demands proactive engagement in vendor relations, complaint resolution, and promotional activities including newsletters and e-blasts to publicize current and upcoming community events. Participation in Board meetings will be required to report event progress and collaborate on community strategies. The role requires excellent organizational skills, the ability to manage multiple tasks simultaneously, and a strong attention to detail in a fast-paced environment. Candidates must demonstrate strong ethical practices and possess proficient verbal and written communication skills to effectively engage with all levels of management and community members.
This position typically requires a valid California driver’s license, reliable transportation, and state-mandated vehicle insurance, reflecting its active involvement in onsite event management and vendor coordination. The organization prefers candidates with a college degree and experience in recreation or management but requires a minimum of a high school diploma. Proficiency in Microsoft Office applications including Word, Excel, PowerPoint, Outlook, and Publisher will support the successful candidate in fulfilling their duties effectively.
