The Event Planner Service Specialist position, based in Downtown Chicago, offers a unique opportunity to join IST Management's dynamic team. This corporate event planner role is critical in facilitating and executing corporate events that not only meet but exceed client expectations. The specialist collaborates closely with various business units to identify the purpose and objectives of each event, ensuring a strategic focus on creating value across the enterprise. Job Requirements
- High school diploma or equivalent
- Minimum of three years experience in event planning or related coordination roles
- Ability to lift up to 50 lbs on occasion
- Ability to meet employer's attendance policy
- Flexible schedule availability including possible travel and weekend work
- Strong accuracy and attention to detail
- Effective communication skills
- Ability to work independently and as part of a team
Job Qualifications
- Three plus years of experience in event planning or related fields
- Experience coordinating corporate events, meetings or weddings
- Ability to manage multiple priorities simultaneously while maintaining high levels of customer service and professionalism
- Experience working independently and within a team environment
- Excellent communication and interpersonal skills
- Strong attention to detail
- Flexible schedule including possible travel, weekends and evenings
- Previous experience in reception or administrative role is a plus
Job Duties
- Responsible for facilitating and executing corporate events
- Leads the logistics, facilitation and creation of events
- Collaborates with event sponsors and hosts to identify the purpose, objectives and measurements for building meeting or event and attracting target participants
- Develops and maintains trusting business relationships with event sponsors and hosts
- Responsible for synchronizing details across events and locations to leverage hospitality services such as menus, staffing and facility usage
- Leads and manages the overall communication of event details and production of event materials
- Plans and executes offsite events including site selection, research, rate and contract negotiation, activities and transportation arrangements
- Builds and maintains the online registration website and manages attendee reservation data
- Maintains hospitality universal standards with teammates, hosts, and sponsors
- Creates accurate cost estimates including budget planning and adherence
- Coordinates post event action items including budget management, communication and survey distribution
- Serves as hospitality host during events, including greeting and managing activities
