Job Requirements

  • Relevant diploma, certificate, or college degree or equivalent experience
  • minimum 3 years' experience in event management and program coordination
  • proficiency with Cvent, Zoom, Teamwork, Adaptive, and other online platforms
  • proficient in Microsoft Office and database management
  • ability to work flexible or extended hours across multiple time zones
  • ability to work extended hours at a computer screen
  • willingness and ability to travel domestically and internationally up to 15% annually
  • excellent verbal and written communication skills
  • ability to maintain discretion and confidentiality
  • strong organizational and time management skills
  • ability to work independently with initiative and good judgment

Job Qualifications

  • skilled in Microsoft Office and database management
  • knowledge of hotel and venue contracting, audio visual, offsite elements, and resource management
  • demonstrated ability to develop and manage event program budgets
  • CMP and/or CAE certification preferred
  • excellent verbal and written communication skills
  • ability to work collaboratively in a multicultural, international environment
  • strong interpersonal skills
  • resourceful with initiative and judgment
  • excellent time management, organization, and prioritization
  • sensitivity to local and international customs and protocols

Job Duties

  • Produce high impact, cost-efficient, small-scale events in line with member champions' goals and vision
  • plan and implement event proposals, budget development, submission and reconciliation
  • manage event logistics, contract negotiation and execution
  • oversee invoice and expense payments
  • coordinate CART process
  • provide onsite support as required
  • collaborate on marketing plans and content to target desired audiences
  • launch event page and setup registration
  • manage communications of event details and logistics
  • ensure content and resources meet goals and YPO standards
  • oversee programs onsite to achieve objectives
  • follow event close-out processes and provide feedback
  • deliver exceptional customer service responding within 24 to 48 business hours
  • foster compliance with YPO's policies, code of conduct, and core principles
  • develop and improve processes to support strategic goals
  • cultivate relationships with members, associates, chapter managers, and external resources
  • perform other roles and duties as assigned
