They are currently seeking a dedicated Event Planner/Conference Planner for a 6-month contract position based in Irving, Texas, with a hybrid work model requiring attendance once per week on-site.
This opportunity is perfect for individuals who are driven and have a passion for delivering seamless event experiences through effective operational management and innovative solutions. As an Event Planner/Conference Planner, you will be responsible for managing the complete lifecycle of virtual meetings, including registration setup, coordination with internal teams for delivery specifications, and day-of event execution to ensure smooth operations. Moreover, you will handle all logistical details for in-person conferences such as venue arrangements, catering, audiovisual support, special event activities, vendor relations, on-site operations, and financial reconciliation to guarantee successful event outcomes.
In addition to event management tasks, you will also be charged with training program partners on the use of conference technologies and processes, which includes registration and delivery platforms as well as protocols and online tools. This role requires a strategic thinker who constantly seeks innovative ways to enhance the customer experience by analyzing feedback from previous conferences and meetings, thereby driving engagement and operational efficiencies. This role demands excellent project management capabilities, especially for handling complex programs with multiple variables and dependencies.
The ideal candidate will bring a Bachelor’s degree along with a minimum of 2 years' relevant event planning experience. Proficiency with Microsoft Office Suite, especially Outlook, Word, and Excel, is essential, as is experience with virtual conference platforms like Webex and Zoom. Strong interpersonal and communication skills are vital, particularly the ability to work effectively with senior executives and vendors. The position requires domestic travel up to 30%, reflecting the need to attend events and coordinate activities across different locations.

Job Duties
- Manage the operational delivery of virtual meetings including registration set-up and management
- Coordinate with internal stakeholders on delivery specifications
- Execute day-of event operations for virtual and in-person conferences
- Plan all aspects of in-person logistical conference activities such as meeting space, catering, A/V, and special event activities
- Manage vendor relationships and on-site event execution
- Train program partners on conference technology, processes, and resources
- Identify new ways to engage audiences virtually and enhance customer experience
